Job summary

EES Fire is seeking a dedicated Office Administrator to support our Construction and Service teams at our Mulgrave, NSW office. This role ensures all documentation, communication, and administrative processes are completed accurately, efficiently, and in line with compliance requirements.

Working across wet and dry fire operations, you will assist project managers, site supervisors, service coordinators, and senior management.

Qualifications

  • Proven experience in an administrative role, ideally within the construction or project-based industry.
  • Strong organisational and time management skills with the ability to manage multiple priorities simultaneously
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with project management or database software
  • Excellent written and verbal communication skills
  • Understanding of basic construction terminology and industry practices is desirable
  • Proficiency in the use of Uptick preferred but not essential.

Responsibilities

  • Maintain accurate and up‑to‑date project records.
  • Prepare, manage, and control all project documentation.
  • Manage and maintain contracts, permits, and compliance records.
  • Coordinate workflow requirements to support operational delivery.
  • Coordinate communications between office staff, project managers, & on‑site teams.
  • Process invoices, purchase orders, and financial documentation in line with company procedures.
  • Maintain and update project databases and filing systems (digital and physical).
  • Support the coordination of health, safety, and compliance documentation and procedures.
  • Uphold administrative standards required for compliant fire‑protection installation and servicing.
  • Manage compliance platforms including CM3 and related systems.
  • Support onboarding, inductions and employee administration.
  • General administrative support across the business.

EES Fire is seeking a dedicated and highly organised Office Administrator to support our Construction and Service teams at our Mulgrave, NSW office. This role is essential to the smooth delivery of our fire protection projects, ensuring all documentation, communication, and administrative processes are completed accurately, efficiently, and in line with compliance requirements. Working across both wet and dry fire operations, you will provide direct administrative support to project managers, site supervisors, service coordinators, and senior management.

Key Responsibilities
  • Maintain accurate and up‑to‑date project records.
