Job summary

Fuji SMBE Macquarie, a leading electrical switchboards manufacturer in Prestons, Southern Sydney, seeks an Office Administration Support to assist the projects team in design and manufacture. You will report to the Director and help with procurement, document control, payroll, and logistics to ensure timely delivery and customer satisfaction.

Responsibilities

• Assist with purchasing requests to ensure component availability aligns with schedules.
• Administer factory staff timesheets and payroll submissions.
• Maintain quality control docs including Work Instructions and Safe Work Method Statements.
• Coordinate dispatch and delivery with customers and logistics.
• Support accounts with day‑to‑day incoming goods and delivery dockets.

Job description

In the role of Office Administration Support, you'll work as part of a small team to co-ordinate & provide support enabling the projects team to design & manufacture high-quality electrical switchboards.

Reporting directly to the Director, you will assist in a wide range of activities from procurement, document & quality control, payroll, & logistics to provide successful delivery of projects and customer satisfaction.

Key responsibilities

• Assisting with purchasing requests from the stores & projects teams to ensure component availability aligns with production schedules
• Assisting with administration of factory staff including reviewing and providing completed timesheets to payroll
• Assisting with maintaining quality control documentation such as Work Instructions, Safe work method instructions, involved with the manufacture, testing & dispatch of the electrical switchboards
• Where required, assisting with coordinating dispatch and delivery activities with customers, transport providers, and logistics personnel
• Supporting the Accounts team with day-to-day administration of incoming goods, & delivery dockets

About you

• Previous experience in an administration role, project coordination, project administration & purchasing, manufacturing coordination or a similar role
• Excellent organisational and time management skills, with a strong attention to detail
• Well-developed interpersonal and communication skills, with the ability to communicate clearly and professionally in both written and spoken English
• The ability to work effectively both independently and collaboratively within a team environment
• A proactive approach to identifying and following up outstanding tasks and requirements
• The ability to manage multiple priorities while maintaining accuracy and attention to detail
• A strong commitment to quality, safety and customer service
• Australian citizens or permanent residents
