About the role
We are seeking a dedicated and organised Medical Secretary to join a specialist medical practice in Dee Why, NSW. This is a part-time position that offers flexibility whilst maintaining the essential administrative functions of our medical practice. As Medical Secretary, you will be the backbone of our office operations, ensuring smooth day‑to‑day functioning and providing crucial support to our clinical team. This role is vital to delivering excellent patient care and maintaining the highest standards of medical administration.
What you'll be doing
- Managing patient appointments and scheduling, including confirming bookings and handling cancellations
- Performing general office administration tasks such as filing, data entry, and document management
- Answering telephone enquiries and greeting patients in a professional and courteous manner
- Maintaining accurate and confidential patient records in accordance with privacy legislation
- Processing patient referrals and correspondence with other healthcare providers
- Handling invoicing, billing and payment processing where required
- Preparing medical reports, letters and other documentation as directed by the doctor
- Assisting with practice administration including ordering supplies and managing stock levels
- Supporting the doctor with clinical tasks as appropriate, such as patient record preparation
- Ensuring compliance with medical practice regulations and maintaining confidentiality at all times
What we're looking for
- Proven experience working as a medical secretary or in a similar medical administration role
- Excellent organisational and time management skills, with the ability to manage multiple priorities
- Strong written and verbal communication skills
- Proficiency with Microsoft Office and medical practice management software
- Knowledge of medical terminology and understanding of patient confidentiality requirements
- A professional demeanour with excellent customer service skills
- Attention to detail and accuracy in record‑keeping and data entry
- Ability to work independently and as part of a small team
- Current knowledge of relevant privacy legislation such as the Privacy Act 1988 (Cth)
- Desirable: Experience with Medicare billing systems
