Job summary

Gavin Fisher Jewellery seeks a Studio & Retail Operations Coordinator to join on a parental leave cover contract. You will manage daily visual presentation, client communications, and keep our custom manufacturing pipeline running smoothly, bridging design, administration, and production alongside Head Jeweller Gavin.

Responsibilities include studio operations, merchandising, client inquiries, production coordination, financial data administration, and creating marketing content for weekly reels

• Meticulous when auditing CAD designs against client specs and creating store visuals.

Responsibilities

• Daily Studio Operations & Visual Merchandising: Open the boutique, set up premium displays, manage curb appeal, and run POS systems.
• Client & Inquiry Management: Respond to digital inquiries, follow up with design prospects, manage client files through deposit stage.
• Production Coordination & Workflow Tracking: Run weekly production meetings, organize project boxes, liaise between team, client, and CAD/casting partners.
• Financial & Data Administration: Monitor precious metal fluctuations and update pricing structures and spreadsheets.
• Content Creation & Marketing: Document finished pieces and publish weekly Instagram/Facebook reels and posts.

Job description

We are seeking an organized, proactive, and detail-oriented Studio & Retail Operations Coordinator to join our team on a parental leave cover contract. This is a unique, multi-faceted role within a boutique jewellery studio. You will be responsible for the daily visual presentation of the shop, managing high-touch client communications, and keeping our custom manufacturing pipeline running flawlessly. Acting as the ultimate wing-person to our Head Jeweller, Gavin, you will bridge the gap between design, administration, and production.

Core Responsibilities

• Daily Studio Operations & Visual Merchandising: Open the boutique, disable security systems, and meticulously set up premium jewellery displays and window themes. Maintain the store's pristine curb appeal, curate ambient store music, and initialize retail POS systems (Square).
• Client & Inquiry Management: Serve as the primary point of contact for digital inquiries (WordPress, emails). Proactively follow up with custom design prospects via phone and email, managing client files through to deposit stage.
• Production Coordination & Workflow Tracking: Run weekly production meetings to audit active jobs. Organize project boxes by urgency, order specialized workshop components, and act as the clear communicator between our team, the client, and external partners (such as our CAD designer and casting services).
• Financial & Data Administration: Monitor weekly precious metal fluctuations via ABC Bullion and systematically update the studio's wedding ring pricing structures and spreadsheets.
• Content Creation & Marketing: Document finished custom jewellery pieces using professional work-phone settings (pro-video, lifestyle, and lightbox photography). Plan, execute, and publish engaging weekly Reels and posts across Instagram and Facebook.

Job Requirements & Attributes

• Highly Organized: Able to juggle strict production deadlines, component ordering timelines, and continuous calendar management.
• Tech-Literate: Comfortable navigating WordPress, email client configurations (POP3 troubleshooting), spreadsheet formula bars, and POS systems.
• Eye for Detail: Meticulous when auditing technical CAD designs against original client specs, and highly visual when creating social content or storefront layouts.
• Communication Skills: Ability to write concise briefs for designers and maintain a warm, premium tone with retail clients.
