We are seeking an organised, client-focused Installation Coordinator to own our install calendar across VIC, NSW and QLD. Reporting to the Operations Manager and working alongside our Project Services Team, you’ll be the point of contact for clients, site coordinators, site crews and the office on scheduled works so crews arrive on time, prepared, and to client expectations.
You will give our clients certainty and our crews a clear run by:
Client Certainty — confirming install dates and arrival times up front, and updating clients the same day should anything change
Scheduling — building the install calendar across 3 states, grouping jobs by area and subcontractor skills
Site Readiness — checking access and materials are on site before the crew arrives, and ensuring that freight, deliveries and returns are booked on time
Key Dates — locking in inspection, Practical Completion (PC) and Occupation Certificate (OC) dates
Same-Day Answers — clearing overnight enquiries and giving clients and builders timely responses
Completions — reviewing completed works daily, updating clients and booking return visits
Visibility — keeping Simpro current so everyone knows who is where, and jobs are ready to invoice
3+ years in scheduling, job coordination or project administration in construction, building products, fit-out or trades
Experience scheduling installers or field technicians across multiple regions, including urgent changes and route planning
Working knowledge of Simpro or a similar system (ServiceM8, AroFlo, Jobpac)
Strong Microsoft Office skills — Excel and Outlook in particular
Confidence on the phone with builders and clients with an ability to pivot quickly
Clear written communication and accurate record keeping
Highly regarded: understanding of construction programmes, inspections and PC/OC milestones; freight and delivery booking experience; commercial or residential building project experience in VIC, NSW or QLD.
Organised, calm and composed when priorities change
Clear, timely and confident communicating with clients, builders and crews
Accurate and detail-focused — dates, records and site notes are right the first time
Takes ownership and follows through on every booking
A problem-solver who flags risks early, with a fix ready
