Job summary

RAC WA is seeking a Portfolio Coordinator to support the delivery of projects and initiatives within the Assurance, Integration & Change team. You will help develop portfolio management processes, prepare board-level reports, and oversee portfolio progress with data-driven insights.

The role emphasizes governance, training, and continuous improvement, with flexible and hybrid working arrangements. Strong communication and collaboration across the organisation are essential.

Qualifications

• Experience in portfolio coordination and stakeholder engagement across enterprise projects or initiatives.
• Experience in management of project controls, including risks, schedules, and budgets.
• Excellent written and verbal communication skills, with proven ability to prepare accurate reports and governance documentation.
• High attention to detail, strong organisational skills and the ability to manage competing priorities.
• Significant experience with project management tools and a sound understanding of project delivery and assurance frameworks.
• Desirable tertiary qualifications; Lean/Kaizen/TQM certifications considered advantageous.
• Ability to adapt in dynamic environments, apply critical thinking, balance competing priorities, and build stakeholder relationships across the organisation.

Responsibilities

• Supporting the development and improvement of project and portfolio management processes, including benefits, risks, issues and dependency management.
• Preparing high-quality Board and Executive level reports, briefs and documentation to support assurance, governance, monitoring and evaluation requirements.
• Overseeing Portfolio of projects, and collating data to monitor progress against deliverables.
• Coordinating governance forums, including agenda preparation, minute-taking and action tracking.
• Delivering cost allocation reporting to enable accurate project chargeback.
• Delivering user support and training, creating and updating training and onboarding materials, performing user acceptance testing, and coordinating system updates and releases for Portfolio Project Management tool.
• Conducting project health checks, control testing and the continuous improvement of portfolio processes, tools and systems.
• Applying critical thinking to interpret reporting outcomes, draw meaningful insights, and foster strong stakeholder engagement in assurance and governance processes.
• Supporting the identification and delivery of continuous improvement initiatives that strengthen the capability and maturity of the assurance and portfolio function.
