Job summary

Vinarchy is seeking a HR Shared Services Coordinator to deliver a professional HR service across the employee lifecycle, from onboarding to offboarding. Reporting to the HR Shared Services Manager, you will maintain data in SuccessFactors and partner with Payroll and HR colleagues across regions.

This fixed-term contract role is based in Sydney or Adelaide with hybrid work (minimum 3 days in the office). The successful candidate will drive data accuracy, respond to HR requests promptly and

• Experience in an HR administration or HR shared services environment.
• Sound understanding of employee lifecycle processes and HR administration.
• Experience using HR systems, ideally SuccessFactors.
• Strong attention to detail and a commitment to accurate employee data.
• Excellent organizational, communication and time management skills.
• Ability to manage competing priorities and deliver to deadlines.
• Customer-focused, practical and solution-oriented approach.
• Confidence working with technology, change and evolving processes, with a genuine interest in continuous improvement.

Responsibilities

• Manage HR requests and transactions across the employee lifecycle, including recruitment, onboarding, contractual changes, transfers, promotions and leavers.
• Prepare contracts, letters and other employee documentation accurately and in line with company requirements.
• Maintain accurate and up-to-date employee records in SuccessFactors.
• Manage requests through HR systems, ticketing tools and shared inboxes, providing clear and practical guidance.
• Partner with Payroll to provide accurate information, meet deadlines and resolve employee data issues.
• Complete data audits and validation checks to maintain strong data quality.
• Support HR projects, system testing and the rollout of new processes and ways of working.
• Identify opportunities to simplify processes, reduce manual effort and improve the employee experience.

About the role

Join Vinarchy as a HR Shared Services Coordinator and play a key role in delivering a professional, accurate and timely HR service across the employee lifecycle. From onboarding and employee changes through to payroll support and offboarding, you will help make everyday interactions with HR simple and positive. Reporting to the HR Shared Services Manager, you will work as part of our global HR Shared Services team and partner with employees, managers, Payroll, HR Business Partners and Centres of Excellence. You will maintain employee data in SuccessFactors, resolve HR requests and help identify smarter, more consistent ways of working across our regions. The role is a fixed-term contract based in Sydney or Adelaide, with hybrid working arrangements (minimum 3 days in the office).
