Job summary

Gippsland Health Alliance, based at Latrobe Regional Health, is seeking a Projects Administration Assistant to support ICT and digital health initiatives. In this full-time fixed-term role, you will provide governance and document management, coordinate committees, and liaise with executives and clinicians to drive project delivery.

You will work within a supportive team, contributing to continuous improvement and accurate information management across Gippsland health services.

Qualifications

  • Experienced administration professional with strong organisational skills and the ability to manage multiple priorities in a fast-paced environment.
  • Proficient in MS Office applications, particularly Word, PowerPoint, Teams, SharePoint and Excel.
  • Demonstrated experience supporting meetings and committees, including agenda preparation, minute taking, action tracking, and document management.
  • Excellent written and verbal communication skills for professional reports, correspondence, presentations and project documentation.
  • Strong stakeholder engagement skills with executives, clinicians, technical staff and external partners.

Responsibilities

  • Provide comprehensive administrative support across multiple ICT and digital health projects, ensuring activities are coordinated efficiently.
  • Coordinate governance and committee activities, including agendas, papers, minutes and action tracking.
  • Assist in preparation, formatting and maintenance of project documents, reports and presentations.
  • Maintain project support systems, registers, filing systems, SharePoint sites and records management.

Latrobe Regional Health is looking for Projects Administration Assistant to join our growing team on a full time (1.0EFT) Fixed term basis unitl November 2027.

We are seeking a highly organised and proactive GHA Projects Administration Officer to support the delivery of multiple ICT and digital health initiatives across the Gippsland Health Alliance (GHA). Reporting to the GHA Program Manager, you will provide high-level administrative and governance support to project teams, committees, and key stakeholders. This role is critical to ensuring projects operate efficiently through the coordination of meetings, documentation, reporting, stakeholder engagement, and project administration activities that contribute to successful project outcomes across Gippsland's health services.

The role of the Projects Administration Assistant is to:
  • Provide comprehensive administrative support across multiple ICT and digital health projects, ensuring project activities are coordinated efficiently and effectively.
  • Coordinate governance and committee activities, including preparing agendas, distributing meeting papers, taking minutes, tracking actions, and supporting follow-up activities.
  • Assist in the preparation, formatting, and maintenance of project documentation, reports, presentations, correspondence, and project records to a professional standard.
  • Maintain project support systems, registers, filing systems, SharePoint sites, and administrative processes to ensure accurate records and effective information management.
  • Liaise with executives, project teams, clinicians, technical staff, and external stakeholders to facilitate communication, engagement activities, and project delivery objectives.
  • Contribute to continuous improvement initiatives, project administration processes, team activities, and achievement of organisational performance targets.
About you
  • Experienced administration professional with strong organisational skills and a proven ability to manage multiple priorities in a fast-paced environment.
  • Highly proficient in Microsoft Office applications, particularly Word, PowerPoint, Teams, SharePoint, and Excel.
  • Demonstrated experience supporting meetings and committees, including agenda preparation, minute taking, action tracking, and document management.
  • Excellent written and verbal communication skills, with the ability to prepare professional reports, correspondence, presentations, and project documentation.
  • Strong stakeholder engagement skills with the ability to work effectively with executives, clinicians, technical teams, and external partners.
