Job summary

Tuncurry Beach Bowling Club is seeking a Functions Coordinator to organise our calendar of functions, events and external catering. You’ll work with our Venue Manager, catering team and staff to plan menus, staffing, and run sheets while delivering memorable experiences for members and guests.

This hands-on role combines client service, sales and administration with on-site coordination, room layouts and decor. Flexible evenings and weekends may be required.

Qualifications

• Experience in functions, events, hospitality, or a registered club.
• Strong organisation, communication and customer service skills.
• Ability to liaise with clients and coordinate multiple priorities.
• Flexibility to work evenings, weekends and public holidays.
• RSA and RCG certification or ability to obtain before starting.

Responsibilities

Are you someone who loves bringing people together, has an eye for detail and gets a buzz from seeing an event come together?

Tuncurry Beach Bowling Club is looking for an organised, enthusiastic and creative Functions Coordinator to coordinate our growing calendar of functions, events and external catering opportunities.

From celebrations and corporate functions at the Club to major local race days where our team provides catering for the local Jockey Club, you’ll be involved in a varied calendar of events throughout the year.

This hands‑on role combines client service, event planning, administration, sales and function delivery. You’ll work closely with our Venue Manager, catering/chef team and operational staff to coordinate everything from catering, staffing and run sheets through to room layouts, decorations and event presentation.

You’ll work with clients to bring their ideas to life, while using your creative eye for styling and presentation to add those finishing touches that make an event special.

You’ll also be actively involved on the day — briefing, training and motivating employees rostered to functions, coordinating with the team and helping ensure each event runs smoothly.

We’re looking for someone who can build great relationships, bring fresh ideas and help us continue growing our functions, external catering and repeat business.

This is a full‑time, on‑site position based at Tuncurry Beach Bowling Club.

Key responsibilities

• Coordinating functions and events from initial enquiry and planning through to successful delivery
• Meeting with clients, conducting venue inspections, preparing quotes and helping turn enquiries into confirmed bookings
• Preparing run sheets, floor plans and function details, ensuring everyone involved has clear and timely information
• Working closely with the Venue Manager and catering/chef team to coordinate menus, guest numbers, dietary requirements, service times and staffing
• Coordinating room layouts, decorations, table settings, equipment, entertainment, suppliers and other event requirements
• Bringing a creative eye to function styling and presentation, helping create the right atmosphere for each event
• Briefing, training and motivating employees rostered to functions so they understand their responsibilities and expected service standards
• Being hands‑on during key functions and events, supporting the team and helping everything run smoothly
• Helping coordinate external catering and major local race day events held throughout the year
• Building relationships with local businesses, community groups, sporting clubs, members and function clients
• Supporting opportunities to grow function bookings, external catering and repeat business
• Bringing fresh ideas for new packages, themes, promotions and events, while using client feedback to continually improve what we offer

About you

You’re a people person who is organised, creative and confident, with a genuine interest in creating great events and experiences.

You’ll be comfortable working with clients, coordinating the details behind the scenes and getting hands‑on with the team to bring each function together. A creative eye for styling, decorations and presentation would be a great fit for this role.

• Experience in functions, events, hospitality, registered clubs or a similar environment
• Strong organisation, communication and customer service skills
• Confidence working with clients and coordinating multiple priorities
• A positive approach to briefing, supporting and motivating staff
• Creativity and an eye for function presentation and styling
• Good computer and administration skills
• Current NSW RSA and RCG, or the ability to obtain these before commencing
• Flexibility to work evenings, weekends and public holidays when functions require
