Job summary

Mediport is seeking a Fleet and Operations administrator for the afternoon shift (Mon-Thu, 12:45 pm – 10:15 pm). The role focuses on running the afternoon shift, overseeing interstate linehaul despatch, and keeping fleet compliance and administration up to date.

You will handle vehicle insurance claims end to end, manage registrations and inspections, and ensure accurate maintenance records. The position requires strong admin skills, NHVR knowledge, and experience with fleet software.

Responsibilities

• Manage vehicle insurance claims end to end, from gathering evidence to settlement.
• Oversee loading of the Melbourne–Tarcutta interstate linehaul each shift, ensuring on-time departure, correct loading and temperature control.
• Manage registration renewals across states, including scheduling inspections.
• Upload invoices, calibration certificates and odometer readings to keep maintenance scheduling current.
• Upload and verify customer manifests in the job management system.
• Monitor driver speed and vehicle temperatures; communicate NHVR requirements to drivers.

About the role - Monday - Thursday 12:45 pm - 10:15 pm

Mediport is a specialist healthcare and pharmaceutical logistics provider moving temperature-sensitive product where accuracy and cold-chain integrity matter.

We're looking for an organised, hands-on coordinator to run our afternoon shift, oversee interstate linehaul despatch and keep our fleet compliant and well administered.

We conduct a handover each night at 10:00 pm to our control tower person.

Key responsibilities

Manage vehicle insurance claims end to end, from gathering evidence and lodging the claim to working with insurers and repairers until it's resolved

Oversee loading of the Melbourne-Tarcutta interstate linehaul each shift, Monday to Thursday, making sure it leaves on time, correctly loaded and at temperature

Manage registration renewals across the states, including booking the required inspections

Upload invoices, calibration certificates and odometer readings to keep maintenance scheduling up to date

Upload and check customer manifests in our job management system

Monitor driver speed and vehicle temperatures, and communicate NHVR requirements to drivers

About you

Current forklift licence (LF)

Experience in transport or fleet operations

Hands-on experience managing vehicle insurance claims

Working knowledge of NHVR and Chain of Responsibility requirements

Strong admin skills and confidence using fleet and job management software

Clear, confident communication with drivers, insurers and suppliers

Nice to have: Gearbox or similar fleet system experience, linehaul or cold-chain background

Full-time role, 38 hours over four nights (Monday to Thursday).
