Job summary

Possability Group in East Melbourne is seeking a proactive Facilities Coordinator to manage maintenance across a diverse residential and commercial portfolio, ensuring safety and functionality.

You will coordinate planned and reactive works, liaise with contractors and internal teams, and help with budget reporting and records using property management systems. A current driver's licence and a Police Check may be required.

Qualifications

  • Experience in facilities coordination, property management, real estate, asset management, or a similar environment.
  • Strong organisational and administrative skills with the ability to manage multiple priorities.
  • Exceptional communication and stakeholder management capabilities.
  • A customer-focused mindset and a proactive approach to problem-solving.
  • Experience using Microsoft Office and property management systems.
  • A current unrestricted driver's licence.
  • A commitment to quality, compliance, and continuous improvement.

Responsibilities

  • Coordinating planned and reactive maintenance across residential and commercial properties.
  • Managing service requests relating to repairs, cleaning, gardening, facility setups, and property make-goods.
  • Liaising with contractors, landlords, vendors, and internal stakeholders to ensure work is completed to a high standard.
  • Supporting the procurement and management of service providers across the property portfolio.
  • Ensuring contractor compliance, including licences, insurances, certifications, and other requirements.
  • Assisting with maintenance planning, budgeting, reporting, and financial reconciliations.
  • Maintaining accurate records and property information through property management systems.
  • Building strong working relationships with operational teams to ensure facilities support service delivery outcomes.

Are you a highly organised coordinator who thrives on juggling priorities, building strong relationships, and getting things done?

We're looking for a proactive and solutions-focused Facilities Coordinator to join our growing Property team in East Melbourne. In this pivotal role, you'll coordinate maintenance, repairs, property services, and contractor activities across a diverse residential and commercial property portfolio, ensuring our properties remain safe, functional, and fit for purpose.

What You'll Be Doing
