About the Role
This is a part‑time opportunity for an experienced Executive Assistant to provide high‑level administrative and organisational support to our General Manager - Property. Working from our Raby Bay office five days a week, you'll be the right hand to a busy executive, helping manage their time, communications, and the day‑to‑day operations that keep our property portfolio on track.
This role would suit someone who thrives in a fast‑paced environment, enjoys variety, and takes pride in anticipating what's needed before being asked.
Key Responsibilities
Manage the General Manager's diary, appointments, and meeting schedules
Coordinate travel arrangements and prepare itineraries as required
Draft, proofread, and manage correspondence, reports, and presentations
Act as a first point of contact for internal and external stakeholders, including tenants, contractors, and property managers
Prepare agendas, minutes, and follow‑up actions for meetings
Assist with coordinating property‑related documentation, contracts, and approvals
Organise and maintain filing systems, records, and databases
Support the General Manager with ad hoc administrative projects and tasks
Liaise with other departments to ensure smooth communication and workflow
About You
Proven experience as an Executive Assistant, Personal Assistant, or in a similar senior administrative support role
Experience within the property, real estate, or related industry is highly regarded, though not essential
Excellent written and verbal communication skills
Strong organisational skills with the ability to prioritise and manage competing demands
High level of discretion and professionalism when handling confidential information
Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)
A proactive, can-do attitude and strong attention to detail
Ability to work independently and use sound judgement
