Job summary

Omaya Group is seeking a highly organised Executive Assistant to support a senior executive within our Property & Assets team in Sydney. You will manage a complex calendar, prepare board papers, coordinate stakeholders and assist with both professional and personal administration to keep the executive running smoothly.

The role offers varied responsibilities across property development and asset portfolios, with a proactive, detail-oriented professional who thrives in a fast-paced environment.

Qualifications

  • Previous experience as an Executive Assistant, Personal Assistant or Senior Administrator supporting an executive leader.
  • Experience within property, construction, development, infrastructure or a related industry.
  • Advanced Microsoft Office skills, particularly Outlook, Word, PowerPoint and Excel.

Responsibilities

  • Complex calendar, meeting and travel management.
  • Coordinating executive communications and correspondence.
  • Preparing reports, presentations, board papers and meeting agendas.
  • Managing confidential information with professionalism and discretion.
  • Assisting with project administration across property and asset portfolios.
  • Coordinating consultants, contractors, tenants and key stakeholders.
  • Maintaining records, contracts and documentation systems.
  • Tracking actions, deadlines and project milestones.
  • Supporting budgeting, invoicing and general administration activities.
  • Assisting with personal and life administration as required.

As our project pipeline and portfolio continue to grow, we are looking for a highly organised, proactive Executive Assistant to support a senior executive within our Property & Assets team.

This is a genuinely varied role for someone who enjoys being the person who keeps everything moving. No two days will look the same, You could be managing a complex calendar and preparing board papers one day, coordinating project stakeholders the next, or assisting with personal and life administration to make your executive's day run more smoothly.

The Role

You will provide high level executive and administrative support across both professional and personal responsibilities, including:

Complex calendar, meeting and travel management

Coordinating executive communications and correspondence

Preparing reports, presentations, board papers and meeting agendas

Managing confidential information with professionalism and discretion

Assisting with project administration across property and asset portfolios

Coordinating consultants, contractors, tenants and key stakeholders

Maintaining records, contracts and documentation systems

Tracking actions, deadlines and project milestones

Supporting budgeting, invoicing and general administration activities

Assisting with personal and life administration as required

Organising errands, deliveries and personal appointments

This role would suit someone who is naturally proactive and enjoys anticipating what needs to be done before being asked.

About You

We're looking for someone who is highly organised, trustworthy and enjoys working in a fast paced environment.

You will ideally have:

Previous experience as an Executive Assistant, Personal Assistant or Senior Administrator supporting an executive leader

Experience within property, construction, development, infrastructure or a related industry

Advanced Microsoft Office skills, particularly Outlook, Word, PowerPoint and Excel

Outstanding organisational and time management abilities

Strong written and verbal communication skills

Exceptional attention to detail and accuracy

The ability to work autonomously and proactively

Professionalism, maturity and sound judgement

A collaborative, positive and approachable personality

The confidence to take ownership and make things happen
