  • Experience as an Executive Assistant, Team Assistant or senior administrator to multiple leaders.
  • Confidence with complex diaries and competing priorities, and the initiative to know what needs to move first.
  • Advanced Microsoft Office skills and a genuine interest in new technology, including AI tools.

Responsibilities

  • Running the diary, travel and priorities of a senior executive so their time goes where it counts.
  • Preparing board papers, briefing notes and executive presentations to support decisions.
  • Bringing the monthly and quarterly reporting cycle together across the team.
  • Keeping the wider team moving, following up deliverables with internal stakeholders and external consultants, and keeping registers and records accurate.
  • Owning the new starter experience, from system setup and equipment through to day one and the check-ins that follow.
  • Keeping training and compliance on track so the business stays ahead of obligations.

We are supporting a client in the investment and property space in hiring for an immediate start Executive Assistant, with the view to stay permanently.

This role is well suited to an experience EA who enjoys a diverse and fast-paced environment. The office is close-knit and the team is highly respected within their industry.

You will be close to the decisions that matter. Board papers, transaction material, reporting to the owners and portfolio reviews all come across your desk. Over time you will be the person who knows what is coming, what needs to move first and when to bring your executive in.

Your responsibilities would include:
  • Running the diary, travel and priorities of a senior executive so their time goes where it counts.
  • Preparing the material decisions get made on, from board papers and briefing notes through to executive presentations.
  • Bringing the monthly and quarterly reporting cycle together across the team.
  • Keeping the wider team moving, following up deliverables with internal stakeholders and external consultants, and keeping registers and records accurate so nothing slips.
  • Owning the new starter experience, from system setup and equipment through to day one and the check-ins that follow.
  • Keeping training and compliance on track so the business stays ahead of its obligations without anyone chasing.
  • Supporting the systems people processes run on, including the HRIS, scorecards and performance reviews, and helping make them simpler.
  • Based near to reception this role (along with the 2 other Executive Assistants) supports currently in greeting visitors, answering the main phone line, setting up meeting rooms and ad-hoc office management.
What you will bring
  • Experience as an Executive Assistant, Team Assistant or senior administrator to multiple leaders, and the judgement that comes with it.
  • Confidence with complex diaries and competing priorities, and the initiative to know what needs to move first.
  • Advanced Microsoft Office skills and a genuine interest in new technology, including AI tools.
  • Discretion with sensitive information, and full working rights in Australia.
  • Exposure to HR or document management platforms, or a background in property or professional services, is an advantage rather than a requirement.
