Bayside Council is seeking an experienced Executive Assistant to support the Director, City Presentation, across Waste & Cleansing, City Works and Parks & Open Space. The role is a permanent full-time position, 35 hours per week in a 9-day fortnight, based at the Bexley Depot.
From $81,708 to $91,513 per annum, plus 12% superannuation, with a focus on proactive priority management, confidentiality and effective stakeholder engagement to support council services and public spaces.

We are currently seeking a proactive and highly organised Executive Assistant to be the trusted right hand to Councils Director, City Presentation, supporting a diverse and highly visible portfolio across Waste & Cleansing, City Works, and Parks & Open Space
About the role
More than traditional executive support, this pivotal role will anticipate priorities, coordinate information, manage competing demands and ensure the Director is prepared and positioned to make timely decisions.

In this role you will:
Be a key point of contact for the Director, applying sound judgement, discretion, confidentiality, and professionalism.
Proactively manage the Director’s schedule, commitments and priorities, ensuring their time is focused where it will have the greatest impact.
Anticipate emerging issues, identify potential pressure points and ensure the Director is appropriately briefed and prepared.
Coordinate information and activity across Waste & Cleansing, City Works, and Parks & Open Space, helping the Directorate operate as a connected portfolio.
Build strong and productive relationships with managers, senior leaders, Mayor, Councillors, Members of Parliament, internal teams, external stakeholders and members of the community.
Prepare and coordinate high-quality correspondence, briefings, reports, meeting papers, presentations and other executive communications.
Research and collate information relating to complex operational, policy and organisational matters.
Track decisions, actions, deadlines and commitments, following up with stakeholders to maintain accountability and progress.
Manage sensitive and confidential information with the highest level of integrity and confidentiality.
Review and improve administrative systems and processes to support efficiency, consistency and quality across the Directorate.
Support key meetings, projects and Directorate initiatives, stepping in to coordinate activity and solve problems when required.
We are looking for someone who has the following qualifications and expertise:
Demonstrated experience in senior administrative or executive assistant role, with a sound understanding of the complexities of working within a politically sensitive environment.
Qualifications and/or equivalent experience in a relevant field

Salary Range: From $81,708 to $91,513 per annum, plus 12% superannuation
