ChildFund Australia is seeking an experienced Executive Assistant to support the CEO and Sydney-based executive team. The role focuses on high-level coordination, travel, scheduling, and delivering efficient office administration.

Key responsibilities include supporting the Board and CEO, coordinating events and meetings, and maintaining a central filing system to enhance office efficiency in Sydney.

Qualifications

  • Ability to adapt in a fast-paced environment and competing priorities.

  • Highly motivated and able to work autonomously, meet deadlines and work under pressure.

Job description

Position Objectives
  1. To improve organisational leadership and management by providing effective administrative assistance to the ChildFund Australia CEO and Sydney based executive team.
  2. To improve the efficiency of ChildFund Australia’s Sydney office by coordinating and managing office functions.

This role is for you if you enjoy high attention to detail, love variety in your work, can work with an experienced CEO and executive team, and deliver on the below items:

  • Executive assistance to the CEO and Board
  • Event management and coordination including organising business functions, catering, staff workshops/conferences and other special meetings, travel and transfer arrangements, appointment setting and scheduling
  • Office management and administration, establishing and maintaining a coordinated and integrated central filing system
Selection Criteria
  • Experience as a personal assistant, executive assistant or equivalent
  • Excellent interpersonal, communication and negotiation skills
  • Good organisational skills, high attention to detail and flexible
  • Ability to adapt in a fast-paced environment and competing priorities
  • Demonstrated ability to liaise at an executive level with external stakeholders
  • Highly motivated and able to work autonomously, meet deadlines and work under pressure.
  • Proficiency in use of standard software applications.
Desirable
  • Prior experience in non-profit organisations
  • Understanding of international development issues
  • Advanced computer skills
  • Events management experience.
