Job summary

Playgroup NSW is seeking an energetic Executive Assistant to provide high-level administrative, strategic, and operational support to the CEO and Executive Team. This full-time, flexible role focuses on ensuring smooth governance, travel management, and stakeholder communications.

The EA will handle sensitive information with discretion, coordinate Board activities, and drive key projects to support a thriving not-for-profit environment across NSW.

Qualifications

  • Proven experience in executive support or office management.
  • Strong organisational and time management skills.
  • Excellent communication and interpersonal skills.
  • High level of discretion and confidentiality.
  • NSW Working with Children Check is required on or before commencement.

Responsibilities

  • Provide high-level administrative, strategic, and operational support to the CEO, Board and Executive Team.
  • Manage the CEO's schedule and travel for efficient operations.
  • Support the Executive Team and contribute to organisational initiatives.
  • Prepare polished communications, presentations, and reports.
  • Coordinate meetings, events, and Board activities with precision.
  • Manage information flow and stakeholder correspondence; drive governance and contract processes.

We are looking for an energetic Executive Assistant to help shape a high‑performing organisation by unlocking the full potential of its people, culture, and capabilities to drive sustainable success. This role is Full Time, Flexible.

About Us

Playgroup NSW is a not-for-profit organisation that helps connect families and children to people and services in the community to positively impact their quality of life. For over 50 years, Playgroup NSW has delivered and linked over 72,000 families to vital services such as parent support groups and playgroups to foster early childhood development, navigate the challenges of parenting and build strong, resilient communities.

With 850 playgroup sessions operating each week, and more than 28,000 sessions held annually, and support from over 700 dedicated volunteers, Playgroup NSW continues to make a significant difference in the lives of young children and their families across the state.

About The Role

The Executive Assistant (EA) plays a pivotal role in providing high-level administrative, strategic, and operational support to the CEO, Board and Executive Team, ensuring the efficient and effective functioning of the organisation. The EA will handle sensitive information with discretion and ensure smooth communication between the CEO and internal/external stakeholders, while also driving key projects and initiatives.

What You'll Be Doing
  • Proactively supporting the CEO, anticipating needs and ensuring the CEO is well-prepared for all engagements.
  • Manage the CEO's schedule and travel, ensuring seamless efficiency.
  • Support the Executive Team and contribute to initiatives.
  • Craft polished communications, presentations, and reports.
  • Coordinate meetings, events, and Board activities with exceptional precision.
  • Manage information flow and correspondence with key stakeholders.
  • Drive governance, compliance, and contract management processes.
  • Process CEO expenses with accuracy and timeliness.
  • Foster a safe and nurturing environment for children and families.
What We're Looking For
  • Proven experience in executive support, office management or a related field.
  • Strong organisational and time management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office 365 and other relevant software applications.
  • High level of initiative, problem-solving, and decision-making skills.
  • Ability to work independently and collaboratively, demonstrating flexibility.
  • High level of discretion and confidentiality.
  • Proactive and self-motivated, with a strong work ethic.
  • Passion for the organisation's mission and values.
  • NSW Working with Children Check is required on or before commencement.
  • Knowledge of the not-for-profit sector (desirable).
