Job description

A high-growth, privately backed Australian business with a strong national footprint and an ambitious trajectory. The company designs, manufactures, and distributes specialised solutions across Australia and operates with the pace and accountability of a scale-up, underpinned by serious financial backing and a seasoned executive leadership team.

About the Role

This is not your typical EA role and we are not looking for a typical EA. An opportunity has opened up for an experienced, operationally sharp Executive Assistant to join a high-growth Australian business in a role that sits right at the centre of everything.

You will report directly to the CEO and work closely with the broader leadership team, but your remit goes well beyond the traditional executive support function. This is a broad, high-trust position where you will have genuine influence over how the business operates and where no two weeks will look the same.

One day you are preparing materials for a leadership meeting and coordinating interstate travel. The next you are onboarding a new team member, managing the company's social media presence, or owning the logistics for a national trade exhibition. You will be the person the business leans on to keep things moving, the one who brings structure where there is ambiguity and calm where there is pressure.

Core responsibilities include:

  • Executive support to the CEO and senior leaders including calendar management, communications, board deliverables, meeting preparation, and follow-up
  • Sending out employment contracts and managing the full onboarding process for new starters
  • Coordinating domestic and international travel for executives, customers, and key stakeholders
  • End-to-end ownership and delivery of major events including national exhibitions and conferences
  • Day-to-day office management covering facilities, suppliers, WHS compliance, and general operations
  • Managing and maintaining the company's social media channels and supporting broader marketing and brand activities
  • HR administration across the employee lifecycle including performance coordination, records management, and offboarding
About You

You have done something like this before, maybe not under this exact title, but you know what it means to be the operational engine of a small, fast-moving business. You are the person who sees what needs to happen before anyone asks, who builds the process when there is not one, and who holds things together when everyone else is focused on the bigger picture.

You are highly organised without being rigid. Professionally polished without being precious. You can walk out of a senior leadership meeting, deal with a supplier, post something on Instagram, and sort out the catering for tomorrow's client visit, all before lunch, and none of it will faze you. You take genuine pride in doing things properly, and you understand that the small stuff is never really small.

You are the kind of person who does not think twice about the milk run, the courier, or the office supply order, because you understand that keeping a business running well means owning all of it, not just the parts that look impressive on a CV.

You thrive in environments where you are trusted to get on with it. Where the leadership team knows you are across it so they do not have to be. Where your contribution is visible not because you push for recognition, but because the business simply runs better when you are in it.

You will bring:

  • Proven experience in a broad EA, office management, or executive operations role, you have been the go-to person and you know what that means in practice
  • Confidence and quiet authority with senior executives and leadership teams — you manage upwards as naturally as you manage everything else
  • Exceptional organisational skills and the ability to hold multiple priorities simultaneously without anything slipping through the cracks
  • Strong written and verbal communication with a professional, considered style that adapts effortlessly to the audience, whether that is a board paper or an Instagram caption
  • Hands‑on experience with HR platforms, contract management and DocuSign, corporate travel systems, and social media management
  • A proactive, solutions‑first mindset, you do not wait to be told, you figure it out and you fix it
  • The maturity and discretion to handle sensitive information, confidential matters, and high‑stakes situations with absolute integrity
  • Attractive salary package plus performance bonus
  • Four days per week in the office with one flexible WFH day
  • A high‑impact, central role working directly alongside an experienced and engaged executive team
  • Broad exposure across operations, HR, events, and commercial activity
  • A collaborative, high‑performing culture that genuinely values contribution
  • The opportunity to grow with a business that is on a strong and sustained upward trajectory
