Job summary

NEX Building Group Pty Ltd is seeking an experienced Executive Assistant based in Scoresby to provide dedicated support to the CEO and occasionally assist the broader leadership team. This pivotal role demands exceptional organisation, discretion and the ability to manage multiple priorities in a fast-paced environment.

You will coordinate complex calendars, travel, meetings and reports while building strong relationships with internal and external stakeholders to support business initiatives

Qualifications

  • Experience providing executive support to C-suite or senior leaders.
  • Excellent communication and interpersonal skills with stakeholders at all levels.
  • Strong organisational and calendar management skills with attention to detail.

Responsibilities

  • Provide high-level executive, administrative and secretarial support to CEO.
  • Manage complex calendars, emails, appointments and business priorities.
  • Coordinate meetings, interstate travel, events and stakeholder engagements.
  • Prepare reports, presentations, board papers and correspondence.
  • Build relationships with internal and external stakeholders and collaborate across teams.
  • Follow up on actions and ensure timely delivery of requests.

About the Opportunity

Due to expansion and growth, we are seeking a highly capable and proactive Executive Assistant to provide dedicated support to the Chief Executive Officer for a newly acquired brand, while also offering occasional assistance to members of the broader leadership team. This is a pivotal role that requires exceptional organisation, discretion, and the ability to manage multiple priorities in a fast-paced environment.

Key responsibilities include:
  • Providing high-level executive, administrative, and secretarial support
  • Managing complex calendars, emails, appointments, and business priorities
  • Coordinating meetings, interstate travel, events, and stakeholder engagements
  • Preparing, collating, and coordinating reports, presentations, board papers, and correspondence
  • Building strong relationships with internal and external stakeholders and collaborating across teams to support business initiatives
  • Following up on key actions, gathering information, and ensuring timely delivery of requests and outcomes
  • Assisting in the coordination and execution of team events, leadership meetings, and strategic projects

  • Advanced Microsoft Office Suite skills, including Outlook, Word, PowerPoint, and Excel
  • A high degree of discretion and professionalism when handling sensitive information
