Job summary

Greenhouse in Sydney, Australia is seeking an Events Coordinator to own end-to-end client events, from enquiry to delivery and post-event follow-up. You’ll be on site for each event, coordinating run sheets, registrations and supplier needs while ensuring spaces are set and ready.

Qualifications

• 1–3 years' experience in events, hospitality, operations or a similar coordination role
• Strong organisational skills and attention to detail
• A hands-on, 'no task too small' mindset
• Confidence dealing with clients and a range of other stakeholders
• The ability to juggle multiple priorities and meet deadlines
• A proactive approach and comfort in a fast-paced environment

Responsibilities

• Managing client events end to end, from enquiry and quoting through to delivery and post-event follow-up
• Being the client's key contact on the day and on site for the whole event, including bump-in and bump-out
• Planning and running our events calendar, including run sheets, timelines, guest lists and registrations
• Preparing, setting up and resetting event spaces. This includes moving furniture and equipment and managing pack down, so every space is left ready for what comes next.
• Coordinating and briefing suppliers, including catering, AV, venues and equipment providers
• Building relationships with trusted suppliers over time
• Issuing quotes and managing deposits, invoices and supplier costs
• Managing registrations, attendee communications and records in HubSpot or other event platforms
• Tracking and reporting on attendance, engagement, partner outcomes and revenue contribution
• Gathering feedback after events and using it to make the next one better
