Job summary

Koala Living is seeking an Event & Engagement Coordinator in Melbourne to create and deliver memorable events that connect customers, staff and the broader community with our culture and values.

You will coordinate community and internal events, workshops, and celebrations, working with customers, internal teams, and external suppliers to bring ideas to life and capture feedback for future improvements.

Qualifications

  • Excellent interpersonal and communication skills with attention to detail.
  • Experience coordinating events, workshops, or company events is preferred.
  • Comfortable in a fast-paced environment and able to adapt quickly.

Responsibilities

  • Coordinate event logistics including venue bookings, equipment setup, catering, and staffing.
  • Support end-to-end planning and execution of events of varying sizes.
  • Liaise with vendors, suppliers, internal teams, and external stakeholders.
  • Assist in developing event timelines, run sheets, and task checklists.
  • Maintain accurate event documentation and administrative records.
  • Assist with budget tracking, invoices, and purchase orders.
  • Provide on-site support during event setup, delivery, and pack-down.
  • Support post-event evaluations and feedback processes.
  • Provide ad hoc event, administrative, and coordination support as required in a dynamic environment across all departments.
  • Coordinate and schedule gallery (onsite) visits for the Senior Management Team, including logistics, timelines, and stakeholder communication.

About the role:

We’re looking for anEvent & Engagement Coordinatorto help create and deliver memorable and meaningful events and experiences that bring our people, customers and wider community together and bring our culture and values to life.

From community-led events and engaging workshops to internal and external company events, you’ll play a key role in bringing ideas to life — creating opportunities for our customers, who are an important part of our community, to come together, connect and share experiences. Event ideas could range from wellness and mental health, team building and socialising, professional growth, community impact all the way through to holiday and cultural celebrations.

This is a varied, hands‑on and people‑focused role suited to someone who is proactive, organised and enjoys figuring things out and running with it. You’ll be a central point of coordination, bringing together customers, internal teams, external suppliers and key stakeholders to ensure every event runs smoothly from concept through to execution.

You’ll also help us continually improve by gathering feedback, connecting with our teams, customers and event participants, and turning those insights into even better experiences.

Key Responsibilities

Desirable (but not essential)
  • Previous experience through study, internships, volunteering, or work in events, hospitality, or project coordination.
  • Familiarity with planning tools such as Google Workspace, spreadsheets, or event management software.
