Job description

Bring College events to life!

Mount Annan Christian College is seeking an organised, proactive and enthusiastic Events and Administration Coordinator to join our positive and dynamic team.

The Events and Administration Coordinator will play a key role in planning and delivering some of the College's most significant events, creating memorable experiences for our students, families, staff and wider College community.

From Year 12 Graduation and Grandparents' Day to College photographs and other major College events, you will coordinate the many moving parts that sit behind a successful event - from venues, suppliers and catering through to logistics, technology, registrations and onsite coordination.

This is a hands-on role suited to someone who enjoys planning, problem-solving and bringing people and ideas together. You will need excellent organisational skills, attention to detail and the ability to remain calm and adaptable when managing multiple priorities and changing requirements.

About the role

Working collaboratively across the College, you will be responsible for the end-to-end coordination of major College events, including:

  • Plan and coordinate major College events from initial planning through to delivery, including venues, logistics, facilities, equipment, catering, IT/AV and onsite coordination.
  • Manage event suppliers and stakeholders, including sourcing and coordinating contractors, suppliers and internal teams, while ensuring relevant College, child safety and compliance requirements are met.
  • Coordinate event administration and scheduling, including maintaining the events calendar, managing schedules, and coordinating registrations, ticketing, RSVPs and attendee lists.
  • Support event promotion and continuous improvement, collaborating on promotional materials and gathering feedback following events to improve future delivery.
  • Provide broader College support, including administration of the music tuition and sports programs.

The role will require some flexibility in working hours to support events that take place outside normal working hours.

About you

We are looking for someone who:

  • Has demonstrated experience coordinating events, projects or similar activities, ideally within a school or community environment.
  • Is highly organised and proactive, with excellent attention to detail and the ability to manage competing priorities and deadlines.
  • Has strong planning, problem-solving and communication skills, with confidence coordinating suppliers, contractors and internal stakeholders.
  • Is technologically confident, with experience using Microsoft Office and, ideally, Monday.com.
  • Is flexible, practical and willing to take initiative, working independently while contributing positively to a collaborative team.
  • Can demonstrate a professional, positive and service-focused approach, with a commitment to providing an exceptional experience for students, parents, guardians and staff.
