Job summary

Hyatt Regency Sydney, located adjacent to Darling Harbour in Sydney's CBD, seeks an Event Planning Executive with passion for client relationships and accurate event delivery. You will coordinate meetings, incentives, exhibitions, social events and weddings, from inquiry through final settlement, working closely with Sales and hotel departments.

The role requires prior event planning experience, strong organisation, and excellent written and verbal communication skills.

Qualifications

• Prior event planning experience in hospitality, with weddings and social events preferred.
• Ability to build relationships with clients and understand their needs.
• Proven organisational skills and attention to detail.

Responsibilities

• Coordinate and manage meetings, incentives, exhibition groups, social events and weddings.
• Follow handover from Sales; plan, implement and execute events.
• Guide clients from arrival to departure, including final settlements.
• Respond to enquiries with a high level of care and service for events up to 250 delegates.
• Convert catering enquiries into confirmed catering events and upsell where appropriate.
• Collaborate with Sales, Events Service, Revenue & Group Reservations, Engineering and Culinary teams.

The Role:

As an Event Planning Executive, you will be responsible for the coordination and management of meetings, incentives, exhibition groups, social events and weddings. Following confirmation of business by the Sales team, the planning, implementation and execution of the event is handed over to you. You will support and guide our clients from arrival to departure, including the final settlement of account. This is the perfect opportunity for an individual with prior event planning experience, who is passionate about building relationships with clients and understanding their needs.

Responsibilities Include:

• Handling all enquiries with a professional manner, demonstrating a high level of care and customer service for events up to 250 delegates
• To actively convert catering only enquiries into a confirmed catering event, demonstrating confidence through call control and upselling
• Managing the day to day administration of events, including sending out of proposals within 24 hours, preparation of BEOs and settlement of final accounts.
• Developing and fostering future and repeat business opportunities
• Attending internal and interdepartmental meetings as required
• Working closely and collaboratively with key departments across the Hotel including the Sales, Events Service, Revenue & Group Reservations, Engineering and Culinary

Our Ideal Candidate will possess:

• Prior experience at a similar level in a Hotel or hospitality venue – background with weddings & socials highly advantageous
• Excellent organisational and time management skills
• Exceptional verbal and written communication skills
• Pride in personal presentation and grooming
• The drive to develop a career within the Event Planning industry
• Full Australian working rights and the availability to work full-time onsite Monday to Friday
