Job summary

Grass Valley in Krakow is seeking an Account Specialist – Order Management to accurately enter, process and manage customer orders within an ERP environment. You will be the key link between customers and internal teams, coordinating with Sales, Project Management, Finance and our manufacturing facilities to meet customer requirements.

You will process orders, handle changes, issue acknowledgements and shipment schedules, and monitor progress to ensure on-time delivery.

Qualifications

• Previous experience in Order Management or Sales Operations.
• Experience with ERP systems; SAP is an advantage.
• Experience with CRM systems; Salesforce is an advantage.
• Advanced level of English, both written and spoken.

Responsibilities

• Process new customer orders in the ERP system with accurate specifications and pricing.
• Manage changes to orders and inform stakeholders.
• Prepare and send order acknowledgements and shipment schedules.
• Monitor orders daily to ensure timely progress and delivery.
• Coordinate with manufacturing teams in Breda and Montreal to meet timelines.
• Communicate updates and delays to Project Managers, Sales, and customers.
• Resolve credit holds with Sales and Finance to avoid delays.
• Respond to customer inquiries via email and phone.
• Ensure orders are shipped and invoiced accurately and promptly.
• Process RMAs and credit notes for returns.
• Maintain up-to-date order information and documentation.
