Job summary

Mind Up is a progressive psychology and counselling practice seeking an Intake Worker & Receptionist to join their administration team in Spotswood, Victoria.

You’ll be the first point of contact for clients seeking mental health support, handling intake calls, bookings and general admin, with three to four days per week between Monday and Thursday, and regular evening shifts finishing at 7.15 pm or 8.00 pm.

Qualifications

• Previous customer service, reception or administration experience.
• Strong verbal and written communication skills.
• A warm, calm and empathetic communication style.
• Strong organisation and attention to detail.
• Ability to work independently while contributing to a team.

Responsibilities

• Conduct initial intake calls with prospective clients.
• Listen to client needs and assist with matching them to an appropriate clinician.
• Respond to telephone, email and in-person enquiries.
• Provide a warm and professional reception experience.
• Manage appointments, bookings, cancellations and client information.
• Process referrals and maintain accurate records.
• Provide general administrative support to clinicians and the broader team.
• Handle sensitive and confidential information appropriately.
• Communicate professionally with clients, referrers and other stakeholders.
• Contribute to a supportive and collaborative team environment.
