Job summary

John Holland Pty Ltd in Sydney invites skilled Document Controller to join the Quality & Completions Team on the Sydney Metro West Linewide Project. You will work with other Document Controllers and report to the Document Manager.

The role requires experience on major projects, qualifications in business/admin, and at least 3 years in document control, with knowledge of project management systems and Aconex. You will manage document flow, confidentiality, and compliance with branding and formats.

Qualifications

• Experience in major project environment or equivalent industry.
• A relevant qualification in Business Administration, Finance, Human Resources or other associated disciplines.
• Minimum 3 years’ or moreexperience in document control.
• Knowledge of project management systems and processes.
• Exeprinece with records management and tracking.
• Aconexexperience.

Responsibilities

• Compiling of lot records, chase and close out missing information when required.
• Organize and track the exchange of documents between all relevant parties, such as clients, subcontractors, and the project office.
• Verify that all document submissions are consistent with project branding and format requirements.
• Managing the distribution, collection, and processing of documents in line with project guidelines for the creation, evaluation, and approval of design documents and other necessary materials, instructions, certifications, and records.
• Managing of the storage and filing of project and company records.
• Ensure document submissions are in accordance and compliant with the project document formats and requirements.
• Implement workflows and collate, issue and receive documents in accordance with project requirements for the development, review and approval of design documentation and all other procedures, instructions, product certification and records that are subject to review and approval
• Plan and record document flow to and from all necessary parties, including client, sub-contractors and the project office
• Record issues and track location of control documents and drawings.
• Ensure current versions are maintained of all documents subject to revision and ensure current versions of documents are issued to required project parties..
• Ensure the documents are managed in strict confidentiality.
• Perform all duties in accordance with John Holland policies, processes, systems and procedures.
