Job summary

OMICRON electronics Australia Pty Ltd in Melbourne is seeking a proactive sales support specialist to assist customers from quotation to delivery and invoicing. You will collaborate with sales and operations, manage orders, and maintain CRM data.

You’ll work closely with the Austrian fulfilment team, handle payments, and support the customer portal. Hybrid work is possible after training, with generous benefits and a people-focused culture.

Qualifications

• Experience in office-based sales support and order fulfilment.
• Knowledge of customs topics and incoterms.
• Excellent MS Office knowledge; Dynamics ERP/CRM ideal.
• Professional verbal and written communication.

Responsibilities

• Attend to customer enquiries via email and phone.
• Support customer purchase journey from quotation to invoice.
• Coordinate order fulfilment with sales and operations teams.
• Communicate with customers about orders, deliveries, and invoicing.
• Collaborate with Austrian order fulfilment team.
• Maintain CRM data quality and notes.
• Assist sales with opportunity management and lead follow-up.
• Support customer portal access.
• Handle payment processes, including credit discussions.
• Provide back-up to CSS team in product servicing and training.
• Participate in team meetings and goals; identify improvement opportunities.
• Perform additional duties as required.

Job description

• Attend to customer enquiries via email and phone
• Work alongside our sales and operations teams to support the customer purchase journey from quotation to order to delivery to invoice
• Work closely with sales team to ensure accurate and timely fulfilment of customer orders
• Communication with customers regarding orders, confirmations, delivery and invoicing
• Maintain a close working relationship with our Austrian order fulfilment team

Maintain and improve data quality in our customer database (CRM) and maintain accurate system notes

Support our sales team in opportunity management and lead follow-up (no cold calling)

Support our customers to access the OMICRON Customer Portal

Handle customer payment processes, including credit and collection discussions

Provide back-up to the CSS team in other processes (product servicing and training)

Participate in and contribute to team meetings and goal setting

• Identify continuous improvement opportunities

Perform other duties as required

What makes you a great fit

Working experience in office-based sales support and order fulfilment

Experience in order processing, freight coordination and invoicing in an international context

Knowledge of and experience with customs topics and incoterms

Excellent MS Office knowledge. Experience with Microsoft Dynamics ERP and CRM ideal

Professional communication skills - both verbal and written

Attention to detail and strong problem-solving skills
