Aurora Project Group Pty Ltd in Perth seeks a Senior Contract Administrator to own commercial detail, lead subcontract negotiations and contribute to project decisions. You’ll work with Project Managers and Site Managers across coordination, procurement, finance, and administration, across commercial fit-out and refurbishment projects.
We welcome a capable Contract Administrator ready to take on greater responsibility, with guidance from experienced colleagues as you develop.
Looking to take ownership of the commercial detail, contribute to project decisions and work with a team that backs you?
Aurora Project Group has been delivering commercial fit-out and refurbishment projects across Western Australia since 2009. As we grow, we’re looking for a Senior Contract Administrator to join our Perth team.
We’ll also consider a capable Contract Administrator ready to take on greater responsibility. Your project allocation, responsibilities and support will reflect your experience and capability.
About the role
You’ll work closely with our Project Managers and Site Managers across three core areas: Coordination, Procurement & Finance, and Administration, supporting projects from award through to final close-out.
Our projects span commercial offices, hospitality, retail, healthcare, education and aged care, primarily through lump sum fit-out and refurbishment contracts.
For an established Senior CA, this is an opportunity to lead subcontractor negotiations, assess complex trade packages and bring sound commercial judgement to project decisions. You’ll also help develop less experienced team members and improve how we work. For a developing CA, it’s an opportunity to build those capabilities with guidance from experienced colleagues.
What you'll be doing
Coordination
Work closely with the PM and SM on day-to-day project coordination, following through on outstanding actions.
Prepare, issue and track RFIs and submittals, reviewing drawings and specifications to identify gaps, discrepancies and required clarifications.
Coordinate information between subcontractors, consultants, site and the project team, supporting mobilisation and site set-up.
Track key project dates and long-lead items, keeping procurement and approvals aligned with the programme.
Identify unresolved commercial, design, procurement and site issues, helping resolve them and escalating risks early.
Procurement & Finance
Set up project budgets and cost codes, maintaining accurate records and tracking costs against budget.
Develop trade scopes, assess quotations for completeness, negotiate commercial terms and arrange subcontract awards in line with the programme and required approvals.
Prepare and submit client progress claims, and assess subcontractor claims and invoices accurately and on time.
Price, assess and negotiate variations, prepare cost forecasts and report the project’s financial position to the PM.
Understand and administer head contract requirements, notice periods and commercial obligations, protecting Aurora’s contractual position.
Administration
Maintain accurate document control across drawings, revision registers, project folders and Procore.
Prepare and issue meeting agendas and minutes, clearly recording responsibilities and due dates.
Coordinate permits and compliance documentation throughout the project.
Maintain contractual correspondence and registers, including notices, extensions of time and variations.
Compile operation and maintenance manuals and handover documentation, following up outstanding information through to close-out.
About you
We’re looking for someone who takes initiative, thinks critically and follows things through. You pick up the phone, ask questions and keep outstanding matters moving without waiting to be chased.
You take pride in accurate work and understand the detail behind your budgets, scopes and claims. You’re confident challenging a quote or questioning information that doesn’t look right, while remaining fair, professional and approachable.
Our preference is for a Senior CA with a strong background in commercial construction, fit-out or refurbishment. You’ll bring:
Strong drawing and specification review skills, with the ability to identify scope gaps and trade interfaces.
Thorough quote assessment and confident negotiation skills.
Practical experience managing subcontracts, progress claims, variations and cost forecasting.
Sound commercial judgement and the ability to provide clear recommendations to the PM.
Strong attention to detail, organisation and follow-through across competing deadlines.
Clear communication and productive relationships with project teams, consultants and subcontractors.
At senior level, you’ll be comfortable working independently, handling more complex commercial matters and mentoring Project Coordinators and less experienced CAs.
Ready for greater responsibility?
If you’re an established CA looking to progress, we’d also like to hear from you. You’ll need experience taking ownership of core CA responsibilities and the drive to build your commercial capability and grow into a senior role.
Relevant construction, quantity surveying or project management qualifications are highly regarded. Strong Excel skills and experience with Jobpac, Procore and 1Breadcrumb would be advantageous.
