Job description

This is a unique opportunity to join a Newcastle based professional services company with international offices. Reporting to the Corporate Services Manager, you will provide dependable administrative support while taking ownership of important business documentation and daily office coordination. Although based at the reception desk, this is not a high-volume reception role; the desk provides a central base from which you will coordinate a varied workload across the business.

This role will suit someone who is mature, calm and resourceful, and who values making a meaningful contribution over status or where they sit. You will be recognised for how well you juggle competing priorities, solve problems and deliver high-quality work. You will confidently work through a daily to-do list with minimal supervision, use sound jugdement and follow tasks through to completion.

Key responsibilities will include:

Format and compile high-quality reports, proposals, tender submissions, expressions of interest and other business documentation, applying advanced Microsoft Word skills and exceptional attention to detail.

Coordinate domestic and international travel, including responding to urgent, last-minute arrangements for project work.

Provide general administrative support across the business, including diary management for two executives and coordination of daily office operations.

Manage the organisation's document management systems across on-premises folders and SharePoint, maintaining accurate, consistent and accessible records.

Coordinate employee inductions and medical assessments.

Manage a fleet of approximately 10 vehicles, including organising servicing and cleaning and booking vehicles in and out.

What you will bring:

Advanced Microsoft Word skills, including the ability to format complex reports, proposals and other professional documents to a consistently high standard.

Previous experience in administration, office coordination, executive support or a comparable role.

Strong written and verbal communication, organisation and time-management skills.

Sound judgement, initiative and practical problem-solving skills.

The ability to prioritise independently, work through a daily task list without close supervision and deliver under pressure.

An understanding and commitment to confidentiality.

Flexibility is important. From time to time, typically around once a month, you may need to assist outside normal business hours to support international offices or an urgent deadline. This could include a report required at short notice or arranging last-minute travel for project work. In return, the company offers genuine flexibility.

This is a full-time, permanent position working 8.00 am to 5.00 pm, Monday to Friday. The successful candidate is eligible for participation under theRDO scheme. An attractive salary package will be negotiated commensurate with the skills and capabilities required.
