Clear Path Financial Group’s organisational methods, operating procedures and end-to-end business workflows, identifying inefficiencies and operational risks, and developing and implementing improved processes, procedures and controls. The Role The role supports the continued development and scalability of the business by improving loan-processing, client-onboarding, document-management and internal operational systems, while ensuring that relevant regulatory and compliance requirements are appropriately incorporated into those processes.

This is a full time role with an annual salary set at $100,000 plus superannuation and is based in Melbourne CBD. The Responsibilities Some tasks may include:

Analyse and map existing business workflows, including client onboarding, loan application processing, document collection, lender communication and settlement processes, to identify bottlenecks, duplication, inefficiencies and capacity constraints. Review administrative and operational procedures, workflow charts, manuals, reports and staff responsibilities to assess whether current methods remain appropriate as the business grows. Develop and recommend revised operating procedures, workflow arrangements and allocation of responsibilities to improve efficiency, consistency and service delivery.

Conduct capacity and workflow assessments across brokers, client service staff, contract administration and external support functions to identify opportunities for improved resource allocation. Design and document future-state workflows for loan processing, client onboarding, CRM usage, document management and other key operational functions. Review the operation and use of existing business systems and recommend improvements to workflow configuration, automation and information handling.

Prepare and maintain Standard Operating Procedures, operational manuals, workflow diagrams, checklists and other procedural documentation reflecting approved process changes. Review relevant regulatory and compliance requirements and incorporate those requirements into efficient operational procedures and control processes. Analyse and improve processes relating to customer due diligence, complex client structures, document verification and escalation of higher-risk matters, with the objective of improving consistency and processing efficiency.

Develop implementation plans, user guides and internal procedural training materials for new or revised systems and operating procedures. Conduct organisational reviews to clarify reporting lines, role responsibilities, functional boundaries and separation of duties where operational inefficiencies or risks are identified. Prepare business cases, cost-benefit analyses and recommendations for management regarding proposed changes to staffing structures, systems, workflow design or operational technology.

Develop and monitor operational performance indicators, including processing times, rework/error rates, compliance exceptions and workflow capacity, to assess the effectiveness of implemented changes. Review the effectiveness of revised procedures and recommend further improvements as part of the company’s continuous process-improvement activities. The Requirements:

Relevant Bachelor degree qualifications in Law, business, or management At Least 2 years’ experience in advanced process architecture, operating model diagnostics, workflow re-engineering, control design, and systems optimisation At Least 2 years’ experience mapping and redesigning lending workflows across client intake, KYC/CDD, loan processing, document validation, lender submissions, approvals, settlement, and post-settlement administration.

At least 2 years’ experience diagnosing workflow failures, control gaps, process duplication, data issues, capacity constraints, SLA failures, compliance exposure, handoff risks, and scalability limits. At least 2 years’ experience improving CRM, document management, case management, automation, reporting, and data capture systems At least 2 years’ experience embedding regulatory, CDD, document verification, risk escalation, audit readiness, record-keeping, QA, and internal control

At least 2 years’ experience supporting UAT, system rollout, workflow testing, issue tracking, user training, and post-implementation review for revised operational systems. At least 2 years’ experience preparing technical business cases, cost-benefit models, operating model recommendations, system proposals, implementation roadmaps, and continuous improvement frameworks. Demonstrated ability to successfully undertake duties and achieve agreed objectives within a team environment as well as independently applying own initiative
