Based at the head office just south of Cairns, you will be working for a group of businesses that employ over 600 people in a variety of full-time, part-time and casual roles. This is a pivotal role that manages a variety of independent tasks in addition to providing support to the business managers in a range of areas such as contract management, marketing, HR, tenders and general administrative support, with duties varying from day to day depending on the immediate requirements.
Main duties
- Prepare presentation & promotional documents, templates and other marketing collateral
- Collate information and manage the process fortenders, grant submissions and similar project proposals
- Coordinate IT and telephony requests - single point liaison with external IT providers re licenses, logins, access levels, etc.
- Maintain document control registers, IT & telephone registers and similar
- Maintenance of website updates and social media functionsincluding regular posts
- Policy and procedure implementation and/or review using a HR subscription service together with researching relevant information if required
- Preparation of employment contracts & drafting position descriptions
- Oversee the brand management and document control functions
- Assist in the onboarding coordination of new employees
- Manage visa and work permit applications for overseas staff
- Enter incident reports and safety data into STEMS safety management system
- Organise safety meetings, take & distribute minutes
- Assist in contractor management and insurance documentation & claims
- Occasional booking of freight and similar logistics functions
- Assist & support the mobilisation of crews to sites including site inductions & ticket renewals
- Provide general administrative and clerical support
- Occasional sundry tasks such as collecting the mail, managing walk-ins, undertaking errands (using any available Company vehicle)
Skills and Experience
- Exceptional computer skills with solid experience in a range of software packages and web-based programmes such as: Microsoft Office, Adobe Acrobat Pro & Creative Cloud, Canva, Photoshop, Illustrator (or similar), work management software and website CMS software
- Prior experience in preparing and writing high level business documents
- Experience in marketing and the use of social media platforms
- Exposure to website management/editing (Wordpress administration experience an advantage)
- Fantastic communication skills, both verbal & written
- Document control experience
- Exposure to HR functions including employment contracts and associated compliance requirements
- The ability to use, initiate and maintain a high degree of confidentiality, discretion, and judgement whilst maintaining a strong customer service approach
- Highly organised with excellent time management skills
- Able to multitask and appropriately manage conflicting priorities whilst maintaining a high level of accuracy and attention to detail
- Some contract management experience would be an advantage although not essential
- Passionate, proactive, reliable & trustworthy
- Current Driver's License (manual license preferred)
Days will be Mon - Thurs, hours negotiable with the successful applicant.
