Hype Electrical is seeking an experienced Administration Coordinator to join our Adelaide team and help drive the next stage of growth. You’ll manage day-to-day administration, schedule the field team, prep job information, coordinate materials and suppliers, and handle accounts and payroll with accuracy.
Work with the Director, stay calm under pressure, communicate clearly, and take ownership of your workload as plans change.
At Hype Electrical, we're building more than just another electrical contracting business.
We're building a company known for quality workmanship, professionalism, reliability and developing exceptional people.
We work on commercial and residential projects throughout Adelaide. Partnering with builders who value quality, organisation and doing things properly.
We're a growing business with big ambitions, but growth for us isn't just about having more workers or taking on more projects. It's about building a better business. One where our people take pride in their work, everyone knows what's expected of them, jobs are organised, and we do what we say we're going to do.
Our values are simple:
QUALITY. ACCOUNTABILITY. TEAMWORK. SAFETY.
Make a mistake? Own it. We'll work through it.
Don't know something? Ask. We're happy to teach you.
See a better way of doing something? Speak up. We want to hear it.
We want to build a workplace where good people are supported to become great at what they do.
As Hype Electrical grows, we want our people to grow with us.
We're looking for someone who wants more than just another admin job.
We're looking for an experienced Administration Coordinator to join our team and play an important role in the next stage of Hype Electrical's growth.
This is an opportunity for someone who enjoys responsibility, takes pride in being organised and gets satisfaction from making things run smoothly.
You'll work closely with the Director, be trusted to manage your own workload and have the opportunity to contribute your ideas as we continue developing the business.
We're not looking for someone who knows everything or has worked in every system.
We're looking for someone with the right experience, a great attitude and the confidence to take ownership of their role.
You'll be supported as you learn the business, and as your confidence grows, so will your independence and responsibility.
We want someone who is excited about where Hype Electrical is heading and wants to be part of getting us there.
You’ll be responsible for the day-to-day administration and coordination that keeps Hype Electrical running efficiently.
Your responsibilities will include:
Scheduling & project coordination: Organising our field team's schedule, maintaining upcoming project forecasts and communicating with builders and workers.
Job preparation: Ensuring current plans, specifications and job information are available to the field team, including communicating updated documentation.
Materials & suppliers: Ordering materials, coordinating site deliveries, checking supplier invoices and monitoring pricing.
Accounts & finance: Preparing customer invoices, following up outstanding payments, reconciling accounts, preparing supplier payments and maintaining cash-flow forecasts.
Payroll & HR: Reviewing timesheets, preparing weekly payroll for approval, managing employee records and keeping licences, training and compliance documentation current.
Office & fleet coordination: Managing calls and emails, maintaining company records and organising vehicle servicing and maintenance.
You’ll be an important point of contact for our builders, suppliers, customers and field team.
Some days will be busy, plans will change and problems will come up. We need someone who can stay calm, communicate clearly and help find solutions.
Experience is important. Attitude matters just as much.
We're looking for someone who is naturally organised, reliable and confident working independently.
Someone who can be friendly and approachable while still being comfortable holding people accountable when needed.
Someone who takes pride in their work, follows through on commitments and doesn’t need someone constantly looking over their shoulder.
Ideally, you'll bring:
3+ years of administration or coordination experience.
Strong organisational skills and attention to detail.
Excellent communication skills and a professional, positive attitude.
Confidence managing competing priorities and working independently.
Good computer skills and the ability to learn new systems.
An understanding of basic accounts and financial administration.
A willingness to take initiative, solve problems and contribute ideas.
A current Australian driver's licence and reliable transport.
Experience in construction, electrical or another trade-based business would be an advantage, but isn’t essential.
We use Simpro, Xero, Google Workspace and Excel. Experience with these systems is highly regarded, but we’re happy to teach the right person.
Familiarity with AI tools such as ChatGPT or Claude, or a willingness to learn, would also be an advantage.
If there's something you don't know, we'll help you learn. If there's something you know that we don't, we want to hear it.
