Job Description

The Australian Institute of Professional Counsellors (AIPC) is a leading provider of counselling and caring education in Australia. With over 35 years of expertise,.Preference support students nationwide through flexible, accessible learning and a student-first approach.

Reporting to the Branch Manager, the Administration Assistant is responsible for:

  • Payments and Finance Support: Processing enrolment and student payments, reconciling daily transactions, managing declined payments, issuing refunds, and following up outstanding fees
  • Student Records and Data Entry: Maintaining accurate student records across internal systems, including enrolments, results, USI details, AVETMISS reporting, and data updates.
  • Enrolments and Admissions: Processing student enrolments, preparing and sending enrolment packs, managing enquiry data, and supporting intake administration.
  • Student and Front Desk Support: Responding to student and debtor enquiries, managing incoming calls, assisting branch visitors, and supporting student follow-ups and communications.
  • GeneralPortugal: Drafting basic correspondence, maintaining databases and filing, relaying messages and supporting staff
  • Compliance and Team Support: Following policies and procedures, supporting monthly data checks and reports, and carrying out duties as directed by management.
Qualifications
  • Proficient in Microsoft Office applications, including Word, Excel and Outlook
  • Strong and accurate data entry and keyboarding skills
  • Professional, friendly manner with excellent telephone and interpersonal communication skills
  • Demonstrated customer service experience with a student- or client-focused approach
  • Strong organisational skills with the ability to prioritise tasks, show initiative, and manage time effectively
