Job summary

Workways Australia in Cairns, QLD is seeking an Administration Assistant to provide essential administrative and participant support for Inclusive Employment Australia. You will be the first contact for participants, employers and stakeholders, handling inquiries, scheduling and records with empathy.

Responsibilities

  • Be first point of contact for participants and employers, offering inclusive support.
  • Coordinate appointments, manage calendars, and support team communication.
  • Maintain participant records, case notes and program documentation per NSDEP guidelines.
  • Assist with compliance by gathering documentation, tracking progress and preparing reports.
  • Maintain confidential files to support audits and reporting.
  • Provide administrative support, including calls, forms, and program materials.
  • Prepare newsletters and participant updates.
  • Respond to inquiries and escalate complex issues as needed.
  • Support participant appointments, Ways2 activities, and job search sessions.
  • Assist with participant re-engagement and post-placement follow-ups.
  • Deliver excellent customer service with empathy and cultural sensitivity.

About the opportunity:

As an Administration Assistant in Inclusive Employment Australia (IEA), you will provide essential administrative and participant support to ensure the smooth delivery of employment services for people with disabilities. You will be the first point of contact for participants, employers, and stakeholders, assisting with inquiries, scheduling appointments, and maintaining accurate records. Your role will also involve data entry, compliance support, and document management, ensuring all program requirements are met. By coordinating communication and supporting frontline staff, you will help create a positive and efficient service experience for participants as they work towards meaningful employment.

What being an Administration Assistant involves:
  • Be the first point of contact for participants and employers, offering helpful and inclusive support.
  • Coordinate appointments, manage calendars, and support communication across the team.
  • Accurately maintain participant records, case notes, and program documentation in line with NSDEP guidelines.

  • Help prepare communication materials like newsletters and participant updates.
  • Respond to inquiries and escalate complex issues to the appropriate team members.
  • Support participant appointments, Ways2 activities, and job search sessions.
  • Assist with participant re-engagement and post-placement support follow-ups.
  • Deliver exceptional customer service with empathy, cultural sensitivity, and inclusivity.
  • Collect and respond to feedback to improve service delivery and ensure diverse voices are heard.
  • Work collaboratively with the NSDEP team to tailor services to participant needs.
