We are a small high end residential builder seeking a casual Administration Assistant to join our team in Bowral, NSW. This is a flexible, part-time casual position that offers the perfect opportunity for someone seeking to contribute to our administrative operations whilst maintaining schedule flexibility. As an Administration Assistant, you will provide essential support to our office operations, ensuring smooth day-to-day functioning and contributing to the efficiency of our building services business. This role is based on-site in Bowral and offers the chance to be part of a dynamic, growing organisation.
Key responsibilities
- Managing and organising office correspondence, documentation and filing systems to ensure efficient information retrieval
- Providing general administrative support to various people within the organisation
- Scheduling appointments, meetings and coordinating diaries for staff members
- Handling incoming and outgoing communications via telephone, email and post
- Assisting the director in preparing scopes of works, request for quotes and proposal submissions
- Preparing and maintaining administrative records, reports and databases
- Processing invoices, expense claims and other financial documentation as required
- Ordering and managing office supplies and equipment inventory
- Supporting the coordination of meetings, events and other organisational activities
- Performing general clerical duties including data entry and document formatting
- Assisting with reception duties and welcoming visitors to the office
What we're looking for
- Proven experience in an administrative or office support role, preferably in a building, construction or professional services environment
- Strong organisational skills with the ability to manage multiple tasks and priorities effectively
- Excellent written and verbal communication skills
- Proficiency with Microsoft Office applications (Word, Excel, Outlook) and general computer literacy
- Attention to detail and accuracy in all work undertaken
- Professional, courteous manner and strong interpersonal skills
- Ability to work independently and as part of a team
- Flexibility and adaptability in a casual working arrangement
- A proactive approach to problem-solving and taking initiative
- Certificate III or IV in Business Administration or equivalent experience is advantageous
