United Nations Secretariat Vienna office is seeking an administrative support professional to manage mail flows, process orders and cheques, and ensure accurate data entry in the MegaStamp system.
The role involves proofreading English and German texts, replying to inquiries by phone, e-mail and letter, and maintaining high standards of professionalism and client service in a multilingual environment.

Timely opening and distribution of incoming correspondences, correct orders and remittances entered into MegaStamp system and accurate proofreading of texts and letters. Opening and sorting of mails, and handling of remitted cheques within the unit. Recording and distribution of sorted mails and correspondences, as well as customers’ orders and remittances entered into MegaStamp system enabling colleagues of the Customer Service & Communication Unit to perform respective follow-up functions. Check and update customers’ accounts and enter orders into the MegaStamp system as well as the immediate forwarding of incoming cheques by liaising with colleagues within UNPA. Proofreading texts, documents and letters in English and German. Replying to customers’ inquiries in English and German by phone, e-mail and letter.
English and French are the working languages of the United Nations Secretariat. For this post, fluency in oral and written English and German is required. Knowledge of another official United Nations language is an advantage.
