Qualifications

• Bachelor's degree in Business Administration, Management, Operations, or related field.
• Significant experience in operations management, business administration, executive support, or similar leadership role.
• Experience overseeing multiple business functions, coordinating teams, and managing complex workflows.
• Background in real estate, property management, construction, or real estate investment is desirable.
• Experience with real estate CRMs, particularly Podio, and project management or business process automation tools is an advantage.
• Advanced English proficiency (C1/C2), both written and spoken, with ability to communicate with U.S.-based leadership.
• Willingness to work occasional evenings/weekends and pass a background check.
• High-speed internet and a modern computer setup.

Responsibilities

• Oversee daily operations with CEO/COO and coordinate strategic priorities.
• Coordinate cross-functional workflows across multiple departments and ensure accountability.
• Oversee real estate transactions from acquisition through closing, coordinating with stakeholders.
• Supervise transaction documentation, title searches, lending documents, and administrative requirements.
• Maintain operational records, deal pipelines, and CRM reports for follow-up.
• Coordinate renovation and property management operations, including contractors and inspections.
• Oversee administrative and financial coordination including vendor accounts and expenses.
• Facilitate communication between internal teams, external partners, and service providers.
• Identify opportunities to improve efficiency and implement organizational systems.
• Provide executive-level administrative and operational support with proactive prioritization.
