Job summary

CS Outsource is seeking an organized Maintenance Coordinator to oversee maintenance requests, coordinate vendors and technicians, and ensure timely resolution of property issues. The ideal candidate will have experience in property management, facilities coordination, or related fields, and be able to handle multiple requests simultaneously.

The role requires strong communication, documentation, and the ability to work independently in a remote environment, with proficiency in Google Workspace

Qualifications

• 2+ years of experience in maintenance coordination, property management, facilities management, or a related role.
• Experience coordinating contractors, handymen, plumbers, electricians, HVAC technicians, and other vendors.
• Excellent communication and follow-up skills.
• Strong organizational and time-management abilities.
• Ability to prioritize multiple work orders based on urgency and impact.
• Comfortable handling emergency maintenance situations.
• Strong attention to detail and documentation skills.
• Proficiency with Google Workspace and property management/work-order software.
• Ability to work independently in a remote environment.
• Strong English communication skills, both written and verbal.

Responsibilities

• Receive, review, prioritize, and track maintenance requests from tenants, guests, property managers, and internal teams.
• Coordinate repairs with maintenance technicians, contractors, and vendors.
• Schedule appointments and ensure vendors have the necessary information and access.
• Follow up on open work orders and ensure issues are resolved within expected timelines.
• Handle urgent and emergency maintenance issues according to established procedures.
• Communicate clearly with tenants, guests, property managers, and vendors throughout the repair process.
• Obtain and compare estimates when required and escalate higher-cost repairs for approval.
• Maintain accurate records of work orders, invoices, photos, estimates, and completed repairs.
• Monitor recurring maintenance issues and identify opportunities for preventative maintenance.
• Coordinate property access, lockbox/entry information, and vendor instructions.
• Update property management systems and internal tracking sheets.
• Ensure completed work meets quality expectations before closing maintenance requests.
