A leading procurement firm in Abu Dhabi is seeking a Document Control Specialist to maintain and update procurement documentation including RFQs and contracts. This role involves implementing document control procedures, ensuring accuracy and confidentiality of documents, and supporting audits. Ideal candidates will have a diploma or degree in business administration and at least 2 years of experience in document control preferably in a procurement environment. Strong proficiency in MS Office, ERP systems, and document management is essential.
Maintain and update records of all procurement documentation including RFQs RFPs purchase requisitions POs contracts invoices and delivery receipts.
Implement and maintain document control procedures and systems (manual or electronic).
Ensure documents are accurately filed version‑controlled and accessible to authorized personnel.
Coordinate with procurement officers suppliers and other departments to collect review and distribute documents.
Track contract expiry dates renewals and compliance deadlines.
Ensure proper document security confidentiality and integrity.
Support internal and external audits by providing accurate and complete procurement records.
Enter procurement data into ERP or document management systems (e.g Oracle SharePoint).
Generate periodic reports on document status outstanding issues and other KPIs.
Assist with administrative duties related to procurement processes when required.
Diploma or bachelor's degree in business administration Supply Chain or related field.
2 years of experience in document control preferably in a procurement or supply chain environment.
Proficiency in MS Office (Word Excel Outlook) and document control systems.
Familiarity with procurement processes terminology and documentation.
Experience with ERP systems (e.g. Oracle) is an advantage.
