Qualifications

• Minimum 2 years of reception/administrative experience.
• Experience in a veterinary or similar service environment is a plus.

Responsibilities

• Greet and welcome clients and their pets in a friendly, professional manner.
• Answer phone calls, WhatsApp messages, and general client inquiries.
• Schedule, confirm, and manage veterinary appointments.
• Register new clients and update pet records accurately.
• Check pets in and out for consultations, vaccinations, procedures, and surgeries.
• Explain basic clinic services, packages, prices, and payment procedures to clients.
• Prepare invoices and process payments.
• Coordinate with veterinarians, nurses, groomers, and other clinic staff regarding appointments and patient needs.
• Follow up with clients regarding appointments, test results, medication collection, and other instructions as directed by the veterinary team.
• Maintain confidentiality of client and patient information.
• Keep the reception area clean, organized, and welcoming.
• Assist with administrative tasks such as filing, data entry, and daily reports.
• Handle client concerns politely and refer medical questions or complaints to the appropriate veterinary staff.
• Ensure that clinic policies and customer-service standards are followed.
• Support the senior receptionist or clinic manager with daily operations.
