Responsibilities

• Coordinate inbound and outbound shipments for internal brand teams, ensuring timely collection, transportation, customs clearance, and delivery.
• Coordinate with freight forwarders and logistics service providers to arrange import, export and re-export shipments.
• Prepare and verify shipping and logistics documentation required for inbound and outbound shipments to the GCC and local UAE exports.
• Coordinate with customs clearance agents to resolve documentation or clearance issues promptly and ensure timelines.
• Monitor shipment status, lead times, and delays to take corrective action and maintain service levels.
• Maintain records of shipment costs, freight documents, customs documentation, and related logistics transactions.

Position Objective

We are looking for a Senior Logistics Executive - Central Logistics in Dubai, UAE to manage and coordinate inbound and outbound shipments for internal brand teams. The role is responsible for coordinating freight collection, customs clearance, transportation, and timely delivery of goods to warehouses and retail stores while ensuring cost-effective and efficient logistics operations.

The position will work closely with brand teams, suppliers, freight forwarders, customs authorities, finance teams, and warehouse and store operations to ensure smooth import, export, re-export, and local shipment processes.

Key Responsibilities

Logistics and Shipment Coordination

• Coordinate inbound and outbound shipments for internal brand teams, ensuring timely collection, transportation, customs clearance, and delivery.
• Establish contact with suppliers, agents, and vendors to arrange cargo collection after coordinating shipment requirements with the relevant brand team.
• Coordinate with freight forwarders and logistics service providers to arrange import, export, and re-export shipments.
• Follow up with freight forwarders and transport partners from cargo collection through customs clearance and final delivery to warehouses or retail stores.
• Monitor shipment status, delivery schedules, lead times, and potential delays and take appropriate corrective action.
• Facilitate the movement of stock between suppliers, warehouses, stores, and other locations using the most cost-effective and efficient transportation solutions.
• Ensure shipments are delivered within agreed timelines while maintaining service quality and operational efficiency.

Freight and Transportation Management

• Obtain and evaluate freight quotations from multiple logistics and transportation service providers for ad hoc shipments.
• Prepare freight comparison statements and support the selection of suitable service providers based on cost, service levels, transit time, and operational requirements.
• Coordinate transportation arrangements for imports, exports, re-exports, and local shipments within the UAE and GCC.
• Identify opportunities to optimize freight costs and improve shipment lead times.

Customs Clearance and Documentation

• Prepare and verify shipping and logistics documentation required for inbound and outbound shipments to the GCC and local UAE exports.
• Coordinate with relevant customs and logistics authorities to facilitate smooth shipment clearance.
• Process Bill of Entry (BOE) documentation and coordinate customs duty payments for inbound and outbound shipments.
• Review and validate customs documentation to ensure accuracy and compliance with applicable requirements.
• Coordinate with freight forwarders and customs clearance agents to resolve documentation or clearance issues promptly.
• Ensure all customs-related activities are completed within the required timelines to prevent shipment delays.

Invoice and Payment Coordination

• Review and validate customs BOE documents and freight invoices for accuracy.
• Coordinate with the Finance team to ensure approved freight and customs documents are submitted for timely payment processing.
• Follow up on outstanding documentation and payments to prevent delays in shipment clearance and delivery.
• Maintain accurate records of shipment costs, freight documents, customs documentation, and related logistics transactions.
