Role Context
The Procurement Specialist will support the Manager, Procurement in delivering reliable, commercially sound sourcing solutions across operational and service-related categories. The position combines day-to-day procurement execution with contract management, financial analysis, supplier evaluation, and process compliance. A strong understanding of Total Cost of Ownership will be essential when assessing purchasing decisions beyond initial price. By applying structured sourcing methods, monitoring supplier commitments, and maintaining accurate contractual controls, the role will help improve service quality, cost efficiency, and operational continuity across the resort environment.
Key Responsibilities
- Support the Manager, Procurement in planning and executing procurement activities aligned with business objectives.
- Manage the sourcing of goods and services in accordance with approved procurement policies and procedures.
- Review stakeholder requirements and determine appropriate sourcing and contracting approaches.
- Plan and schedule procurement activities to support operational timelines and service requirements.
- Prepare RFQs, RFPs, commercial comparisons, evaluation documents, and supplier recommendations.
- Identify suitable suppliers and assess their commercial capability, service quality, and contractual suitability.
- Evaluate bids using price, quality, service, risk, delivery, and Total Cost of Ownership considerations.
- Negotiate pricing, commercial terms, service conditions, and contractual obligations with suppliers.
- Support the drafting, review, evaluation, and execution of complex procurement contracts.
- Ensure contractual terms reflect agreed scope, pricing, responsibilities, performance expectations, and compliance requirements.
- Monitor procurement and contract activities from initiation through award and implementation.
- Maintain accurate documentation for sourcing decisions, approvals, agreements, and supplier correspondence.
- Ensure procurement activities comply with internal governance requirements and applicable regulations.
- Review legal and contractual obligations and elevate areas of concern when required.
- Support supplier onboarding and maintain accurate vendor records.
- Build productive working relationships with operational departments and key external suppliers.
- Procure operational services and establish appropriate service-level expectations within contractual agreements.
- Develop and monitor SLAs, KPIs, and supplier performance measures where required.
- Participate in supplier performance reviews and identify areas requiring corrective action.
- Address delivery, service, quality, or contractual issues with suppliers in a timely manner.
- Monitor supplier compliance against agreed commercial and operational requirements.
- Use structured analysis to compare procurement alternatives and support informed decision-making.
- Identify opportunities to improve cost efficiency without compromising quality or service levels.
- Apply financial and logical analysis when evaluating sourcing options and contract structures.
- Support process improvements that strengthen procurement efficiency, transparency, and control.
- Maintain effective communication with internal stakeholders throughout sourcing and contracting activities.
- Work independently on assigned procurement responsibilities while escalating significant risks appropriately.
- Use ERP, eSourcing, and eContract systems where available to manage procurement workflows and documentation.
- Prepare reports, presentations, and commercial analyses using Microsoft Excel, Word, and PowerPoint.
- Contribute to professional and responsive procurement support across both resort operations.
Ideal Profile
- Bachelor 's degree in Supply Chain Management, Business Administration, Finance, Procurement, or a related discipline.
- Minimum 4 years of professional procurement experience.
- Strong analytical and problem-solving capability.
- Able to evaluate multiple commercial variables and make structured procurement decisions.
- Experienced in drafting, reviewing, negotiating, and executing complex contracts.
- Good understanding of contract compliance, supplier obligations, and commercial risk.
- Strong negotiation skills with the ability to secure favorable commercial outcomes.
- Previous exposure to operational services procurement is advantageous.
- Comfortable developing and monitoring SLAs, KPIs, and supplier performance measures.
- Familiar with Total Cost of Ownership principles and value-based procurement.
- Able to work independently and take ownership of assigned sourcing activities.
- Strong organizational capability when managing simultaneous procurement requirements.
- Proficient in Microsoft Excel, Word, and PowerPoint.
- Experience with ERP systems is highly regarded.
- Exposure to eSourcing and eContract software is advantageous.
