Sharaf DG is seeking a Procurement and Logistics Coordinator to support project operations in Dubai. This role involves managing the full procurement cycle, vendor onboarding, and logistics documentation, ensuring effective coordination among teams and suppliers.

Responsibilities

• Create purchase orders and manage internal approval workflows.
• Prepare and maintain project costing sheets and procurement budgets.
• Handle billing processes including goods receipt and invoice verification.
• Manage vendor invoices and maintain accurate records through vendor portals.
• Prepare quotations and support project teams with accurate pricing information.
• Prepare RFP documentation for suppliers across ongoing projects.
• Onboard new vendors and customers ensuring complete and accurate documentation.
• Coordinate with vendors for deliveries and warranty documentation.
• Track stock levels, spare parts, and sample inventory.
• Provide delivery updates and material tracking support to project teams.

Position Overview: Procurement and Logistics Coordinator role in Dubai supporting Sharaf DG project operations. This position manages the full procurement cycle, vendor and customer onboarding, logistics coordination, documentation, and warranty handling, with optional exposure to lighting design and technical documentation. The role ensures smooth coordination between internal teams, suppliers, and clients from purchase order creation through project completion.

Key Responsibilities

• Create purchase orders and manage internal approval workflows
• Prepare and maintain project costing sheets and procurement budgets
• Handle billing processes including goods receipt and invoice verification
• Manage vendor invoices and maintain accurate records through vendor portals
• Prepare quotations and support project teams with accurate pricing information
• Prepare RFP documentation and delay penalty documents for suppliers across ongoing projects
• Onboard new vendors and customers ensuring complete and accurate documentation
• Maintain updated contact records for internal teams, suppliers, and service partners
• Coordinate with vendors for deliveries, spare parts, and warranty documentation
• Manage logistics documentation including delivery notes, sales orders, and shipping records
• Track stock levels, spare parts, and sample inventory
• Manage outbound samples and ensure proper documentation for stock movement
• Coordinate timely material delivery to clients as per project schedules
• Track product warranties, manage RMA processes, and coordinate replacements with suppliers
• Collect warranty letters from suppliers and issue warranty confirmations to clients
• Maintain organized documentation for procurement, logistics, and warranty activities
• Act as a key coordination point between internal departments, suppliers, and clients
• Provide delivery updates and material tracking support to project teams

Optional Technical Support

• Assist with lighting design documentation and AutoCAD drawings for BOQ preparation
• Review and prepare material submittals in line with project specifications
