Position Overview: The Procurement Executive role at Sharaf DG Dubai supports lighting and energy-related projects by managing the full procurement and coordination cycle. This position ensures smooth operations across purchasing, vendor and customer onboarding, logistics coordination, material submittals, and warranty management while working closely with internal teams, suppliers, and clients to meet project timelines and quality standards.

Key Responsibilities

• Create purchase orders and manage approval workflows for project and operational needs
• Prepare and maintain costing sheets for procurement and project activities
• Handle billing, goods receipt, and invoice verification processes including MIGO and MIRO
• Manage vendor invoices and maintain accurate records within the vendor invoice portal
• Prepare quotations and support project teams with accurate pricing information
• Prepare RFPs and delay penalty documentation required for suppliers across ongoing projects
• Onboard new vendors and customers ensuring all required documentation is completed
• Maintain updated contact databases for internal teams, suppliers, and local partners
• Coordinate deliveries, spares, warranty documentation, and shipping paperwork
• Track stock levels, spares, samples, and outbound inventory movements
• Ensure timely arrangement and delivery of materials to clients and project sites
• Track warranties, manage RMA processes, and coordinate replacements with suppliers
• Collect warranty letters from suppliers and issue warranty confirmations to clients
• Provide optional support in lighting design and AutoCAD documentation for BOQ preparation
• Review and prepare material submittals in line with project specifications
• Maintain organized records for procurement, logistics, and warranty activities
• Act as a coordination point between internal departments, suppliers, and clients

• Basic understanding of procurement workflows and ERP or SAP processes
• Familiarity with purchase orders, sales orders, goods receipt, and invoice verification
• Proficiency in Microsoft Office with optional exposure to AutoCAD and lighting design tools
