Position Summary

Gulf Aquaculture is seeking a detail-oriented and proactive Administrative Coordinator to ensure smooth office operations by managing daily workflows, coordinating internal communications, and overseeing schedules. In this role, you will act as the organizational backbone often supporting HR, managing vendor invoices, and streamlining cross-departmental operations.


Key Responsibilities


  • Office Management: Oversee daily administrative operations, maintain physical/digital files, and manage office supply inventories.

  • Communication & Scheduling: Act as the primary point of contact for employees, vendors, and clients. Manage executive calendars, schedule in-house meetings, and arrange travel logistics.

  • Financial Support: Track office expenses, process vendor invoices, and assist management with budget development.

  • Process Improvement: Evaluate current administrative workflows and implement strategies to increase efficiency and reduce operational costs.


Essential Qualifications


  • Education: Bachelor's degree in Human Resources, Business Administration, or related field. Master's degree or SHRM/CIPD certification is highly preferred.

  • Experience: Minimum 3 years of proven experience in an administrative or office support role.

  • Soft Skills: Exceptional multitasking, problem-solving, and communication skills to navigate a fast-paced environment.

  • Problem-Solving: The ability to handle unexpected workplace challenges, prioritize high workloads, and resolve administrative issues proactively.

  • Communication: Clear written and verbal communication skills to bridge gaps between internal departments, management, and external clients.

  • Attention to Detail: Meticulous approach to data entry, filing, archiving, and processing correspondence or invoices.

  • Interpersonal & Customer Service Skills: A welcoming demeanor and diplomacy when interacting with diverse colleagues, stakeholders, vendors, and visitors.

  • Software: Proficiency in the Microsoft Office Suite (Word, Excel, Outlook), digital collaboration tools, and basic database management.

  • Languages: Fluent in English (written and spoken); Arabic or other languages are a plus.
