Job summary

Exotic Colors By MAYSARi is seeking a Logistics Coordinator to manage freight quotations, bookings, insurance coordination, and expense processing across UAE operations. The role requires a Diploma or Bachelor in Logistics/Supply Chain, with extensive experience in freight coordination and familiarity with UAE market practices.

• 14 years of experience in freight/shipping coordination, logistics operations, or similar multi-responsibility role.
• Experience in Retail FMCG or trading companies with regular import shipments (sea or air) preferred. UAE market familiarity is a plus.

Responsibilities

• Contact shipping/freight companies to obtain quotations and book shipments and bill shipping costs in the system.
• Coordinate with the insurance company to arrange shipment insurance and create corresponding insurance bills.
• Handle and follow up on near-expiry items across locations, coordinating pull-out and rotation with warehouse and retail teams.
• Submit fuel expenses (ADNOC) for all company vehicles.
• Coordinate pest control services for all shop locations, the warehouse, and the office.
• Check vehicle conditions and monitor service schedules, flagging any maintenance or repair needs.

Job description

Contact shipping/freight companies to obtain quotations and book shipments; submit the shipping cost as a bill in the system once confirmed.
Contact the insurance company to arrange shipment insurance and create the corresponding insurance bills.
Handle and follow up on near-expiry items across locations coordinating pull-out and rotation with the warehouse and retail team.
Submit fuel expenses (ADNOC) for all company vehicles.
Coordinate pest control service for all shop locations the warehouse and the office.
New responsibility for this role: check the condition of company vehicles and monitor their service schedule flagging any vehicle due for maintenance or repair

RequirementsRequired Educational Qualification

Diploma or Bachelors degree in Logistics Supply Chain Management Business Administration or a related field.

24 years of experience in freight/shipping coordination logistics operations or a similar multi-responsibility operations/admin role.

Retail FMCG or trading company experience with regular import shipments (sea and/or air freight) is preferred. Prior exposure to fleet or facilities coordination (vehicle servicing fuel cards or vendor-managed services like pest control) is a strong advantage. UAE market experience preferred including familiarity with local freight forwarders and insurance providers.

Specific Skills or Certifications Required

Experience requesting freight quotations and booking shipments (sea and air) and basic familiarity with shipping terms (e.g. CPT FOB).

Working knowledge of Zoho Inventory / Zoho Expenses for creating bills (shipping insurance fuel) or comparable accounting software.

Valid UAE driving license required for vehicle checks and coordinating with service centers.

Organized enough to track multiple recurring obligations in parallel: shipments in transit insurance policies near-expiry stock fuel cards pest control visits and vehicle service due dates.

Freight forwarding or logistics certification is a plus but not required

Required Skills:

Bachelors degree or Diploma in Business Administration Supply Chain Management Accounting or a related field. Candidates with strong hands-on experience and no degree may still be considered. 14 years of experience in purchasing procurement or supply chain / order coordination. Preferred Industry / Relevant Experience Retail FMCG distribution or trading company background preferred. Experience coordinating across multiple brands or product lines and working with both a POS/retail system and an accounting/inventory system is a strong advantage. UAE market experience preferred Specific Skills or Certifications Required Working knowledge of ERPLY (or a comparable retail/POS management system). Working knowledge of Zoho Inventory and Zoho Expenses (or comparable cloud accounting/inventory software). Intermediate Excel skills (tracking orders price lists monthly supply requests). Strong follow-up and coordination skills this role deals daily with suppliers the warehouse team and Finance and must keep all three moving in parallel. High attention to detail particularly for pricing units and stock quantities when closing orders and registering items.
