We are looking for a detail-oriented and organized Legal & Statutory Documentation Executive to manage and coordinate the Group’s legal, statutory, regulatory, and corporate documentation requirements.
Prepare, maintain, organize, and update legal and corporate documents.
Maintain proper records of agreements, contracts, licenses, certificates, authorizations, powers of attorney, and other legal documents.
Coordinate with internal departments for collection and verification of required documents.
Assist in preparing documentation required for legal, commercial, and administrative matters.
Ensure proper filing and confidentiality of sensitive legal documents.
Maintain records of all statutory and regulatory documents relating to the Group and its entities.
Monitor expiry dates of trade licenses, commercial registrations, permits, certificates, registrations, and other statutory documents.
Coordinate timely renewal of licenses, permits, certificates, and government registrations.
Follow up with relevant departments and government authorities to ensure compliance requirements are completed on time.
Maintain a centralized tracker for statutory documentation and renewal requirements.
Coordinate with relevant government authorities, free zones, municipalities, chambers, regulatory bodies, and other official entities as required.
Follow up on applications, renewals, amendments, approvals, and other official submissions.
Ensure that all required supporting documents are complete and properly submitted.
Maintain records of submissions, approvals, correspondence, and government transactions.
Maintain a systematic database of contracts, agreements, tenancy documents, service agreements, and other legal documents.
Monitor contract validity, renewal dates, and important contractual obligations.
Coordinate with concerned departments and management for timely renewal or amendments.
Liaise with legal consultants or external lawyers whenever required.
Coordinate with HR, Finance, Operations, Procurement, Retail, Administration, and other departments regarding legal and statutory documentation.
Assist management with documentation required for new business activities, branches, outlets, registrations, and other corporate requirements.
Perform other legal documentation and compliance-related duties assigned by management.
The selected candidate will be expected to ensure:
Timely renewal of all applicable licenses, permits, registrations, and statutory documents.
Accurate and up-to-date legal and statutory records.
Proper tracking and follow-up of pending documentation.
Timely submission of required government and regulatory documents.
Effective document filing and retrieval.
Timely escalation of upcoming expiries, compliance requirements, and pending approvals.
Minimal risk of delays, penalties, or business disruption arising from documentation lapses.
Bachelor’s degree in law, Business Administration, Commerce, or a related field.
Additional certification in legal administration, compliance, corporate governance, or document control will be an advantage.
Minimum 3–5 years of relevant experience in legal documentation, statutory compliance, corporate administration, or a similar role.
Experience in the UAE/GCC regulatory and government documentation environment is must.
Good knowledge of document management and statutory renewal processes.
