Job Description
We are seeking a Junior Administrator to join a prestigious Family Office in Abu Dhabi. The successful candidate will provide day-to-day administrative and coordination support to the office, ensuring that documentation, correspondence, scheduling, records, and general office activities are handled efficiently and professionally.
This role is ideal for a highly organized, proactive, and detail-oriented individual who is looking to build a long-term career within a professional and confidential Family Office environment.
Key Responsibilities
- Provide day-to-day administrative and clerical support to the Family Office and management team.
- Manage emails, correspondence, documents, and routine office communications.
- Maintain accurate physical and electronic filing systems and ensure documents are properly organized and easily accessible.
- Assist with preparing reports, presentations, letters, spreadsheets, and other administrative documents.
- Coordinate meetings, appointments, calendars, and internal schedules.
- Prepare meeting rooms and ensure required documents and materials are available.
- Maintain records, trackers, databases, and administrative logs.
- Coordinate with internal departments, suppliers, contractors, consultants, and external stakeholders as required.
- Assist with document follow-ups, approvals, signatures, and submissions.
- Support the management team with general administrative and coordination tasks.
- Assist in monitoring office supplies, stationery, and other administrative requirements.
- Handle sensitive information and confidential documents with a high level of discretion.
- Support travel arrangements, bookings, and other logistical requirements when required.
- Assist with basic data entry, Excel tracking, and preparation of administrative reports.
- Perform other administrative duties assigned by management.
Requirements
- A Bachelor's degree or diploma in Business Administration, Management, Office Administration, or a related field is preferred.
- 5 years of relevant administrative or coordination experience.
- Previous experience within a Family Office, Master Developer, Construction Company, Start-up, Real Estate, Property Development, or similar professional environment is highly preferred.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills in English.
- Proficient in Microsoft Office, particularly Word, Excel, Outlook, and PowerPoint.
- Strong attention to detail and accuracy.
- Ability to manage multiple tasks and priorities effectively.
- Professional appearance, attitude, and communication style.
- Ability to work with confidential and sensitive information.
- Proactive, reliable, flexible, and willing to learn.
