  • Minimum 2-3 years of experience in event coordination, sales, or a similar hospitality role within a luxury hotel or upscale environment.
  • Proven ability to manage multiple event logistics, including space planning, catering, AV requirements, and room setups.
  • Strong communication and interpersonal skills, with the ability to build and maintain relationships with corporate clients, event planners, and suppliers.
  • Excellent organizational skills with keen attention to detail, ensuring all event details are managed efficiently and accurately.
  • Ability to work effectively in a team and collaborate with departments such as Food & Beverage Operations and Front Office.
  • A proactive approach to problem-solving and guest service, ensuring events run smoothly and client expectations are exceeded.
  • Familiarity with event management software and tools, with the ability to learn new systems quickly.
  • Strong time management skills, with the ability to prioritize tasks effectively in a fast-paced environment.
  • Flexibility to work varied hours, including weekends, evenings, and holidays, depending on event schedules.

The Groups Conference & Events (GC&E) Coordinator supports the efficient planning and flawless execution of group bookings, conferences, and events within the hotel. This role requires a responsible and proactive approach to ensure seamless event coordination.

What will I be doing

As a GC&E Coordinator, you will assist in managing group bookings, conferences, and event operations. Your main focus is to ensure a smooth process from inquiry to event execution, emphasizing operational efficiency and guest satisfaction. Your responsibilities include:

  • Responding promptly to customer inquiries regarding group bookings, conferences, and events, providing relevant information and answering questions.
  • Coordinating and assisting with the planning and execution of group events, conferences, and meetings, ensuring all client specifications are accurately captured.
  • Supporting the organization and scheduling of site inspections to showcase the hotel's event facilities and capabilities to potential clients.
  • Communicating with Food & Beverage, Banqueting, and Operations teams to meet all event-related requirements such as room setups, AV needs, and catering.
  • Maintaining an up-to-date event diary and space availability to ensure efficient use of hotel facilities and smooth workflow for bookings.
  • Providing support during events to ensure smooth execution, addressing any issues, and responding to guest requests as needed.
  • Assisting with post-event follow-up, gathering client feedback, and evaluating event success to improve future offerings.
  • Supporting billing and payment processes, ensuring contracts, deposits, and payments are handled according to hotel policies.
  • Ensuring all event materials, such as signage and collateral, are prepared and in place before the event.
  • Assisting with reporting on event performance, sales, and client feedback to contribute to departmental improvements.
