Confidential Company is seeking an IT Office Coordinator to support the CTO Office with organizing IT project requests and daily activities in Dubai. You will prepare registers, track items, purchase requests, quotations, approvals, purchase orders, delivery documents and invoices, and coordinate with vendors and internal teams.
You should have a bachelor’s degree in IT/CS/IS, strong IT knowledge, and fluent English and Arabic.
Support the CTO Office in organizing and following up on IT projects requests and daily activities.
Prepare register track and file item requests, purchase requests, quotations, approvals, purchase orders, delivery documents and invoices.
Coordinate with Purchasing, Finance, HR, Legal, vendors and the IT teams across the Group.
Maintain structured electronic and physical filing systems for all CTO Office documents.
Prepare letters, emails, reports, presentations, comparison sheets, meeting agendas and minutes of meetings.
Maintain project trackers, procurement trackers, contract registers, warranty records, license-renewal lists and vendor databases.
Follow up on approvals, deliveries, installations, payments, renewals and pending actions.
Collect technical requirements and prepare initial specifications with guidance from the CTO and technical team.
Review submitted documents to ensure that information, quotations, approvals and supporting attachments are complete.
Maintain inventories of IT equipment, software licenses, contracts, subscriptions and project documents.
Coordinate meetings, vendor demonstrations, site visits and internal technical discussions.
Handle confidential technical, financial, employee and management documents professionally.
Support communication between the CTO Office and the Group s different business units.
Assist with general IT coordination and basic technical tasks when required.
Bachelor's degree in Information Technology, Computer Engineering, Information Systems, or an equivalent discipline.
Broad understanding of IT infrastructure, networking, systems, cybersecurity, software, hardware, and technical terminology.
Strong knowledge of Microsoft Word, Excel, PowerPoint, Outlook, and document-management tools.
Excellent filing, documentation, coordination, follow-up, and time-management skills.
Ability to prepare professional correspondence, reports, presentations, and tracking sheets.
Strong attention to detail and ability to manage multiple requests and deadlines.
Excellent spoken and written English and fluency in Arabic.
Previous experience in an IT office, project coordination, procurement, document control, or executive-assistance role is preferred.
